Personnel Assistant, Executive Office Team
Grade Band 4, Permanent contract, part‑time (25 hours per week).
Location: Colchester (with occasional travel to Chelmsford and Braintree).
Job Overview
Provide a comprehensive, professional PA service covering all aspects of secretarial, administrative and organisational support for the Group Business Development Director. Support and supervise other administrative staff within the directorate.
Main duties of the job
* Act as professional point of contact.
* Diary management (travel, accommodation).
* Handle telephone calls.
* Organise complex and formal meetings – minutes, agendas, actions, equipment, venues.
* Project work and timelines.
* Prepare and circulate minutes, agendas and action letters.
* Collate data and information for meetings.
* Support business‑development meetings.
* Coordinate HR hearings and investigations.
* Attendance and note taking at external events.
* Typing correspondence, reports and presentations.
* Annual leave administration and service cover.
* Respond to or forward e‑mail and post appropriately.
* Support events.
Essential criteria
* NVQ Level 3 in Business Administration or equivalent experience; RSA III typing or equivalent qualification.
* Minimum 3 years’ senior administrative or PA experience at Director level or equivalent in a large, complex organisation.
* Experience working autonomously, including diary management, complex meeting arrangements and travel coordination.
* Strong minute‑taking, report preparation and agenda setting skills.
* Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
* Excellent written and verbal communication, planning and organisational skills.
* Ability to multi‑task and prioritise workload without supervision.
* Problem‑solving, adaptability and willingness to develop services and systems.
* High level of presentation of written work.
* Self‑motivated, proactive, polite, courteous, team player with a can‑do attitude.
Desirable criteria
* Ability to travel independently across the Mid‑Essex region as required.
* Event coordination experience.
Other requirements
* Professional UK clinical registration may be required; if so, the company will cover registration costs for the first year.
* COVID‑19 vaccination – all staff are encouraged to be double‑vaccinated and receive a booster.
* Staff receive training in Anti‑Fraud and use of technology for identity verification.
