Job Title: Workplace Coordinator (Facilities & Site Operations)
Location: Coalville, UK (On-Site – 5 Days per Week)
Employment Type: Full-Time, Permanent
Salary: £35,000 per annum + Comprehensive Benefits
Overview
Our client is seeking a Workplace Coordinator to support the day-to-day operations of a large-scale, state-of-the-art vehicle reconditioning centre in Coalville.
This role is central to ensuring the smooth delivery of both hard and soft facilities services across a 22-acre operational site. Working closely with the Workplace Manager, contractors, and internal stakeholders, you will coordinate maintenance, compliance, supplier performance, and workplace services to maintain a safe, efficient, and high-performing environment.
This is a varied and fast-paced role suited to an organised and proactive facilities professional who thrives in an operational setting and takes pride in delivering high service standards.
Please note: This role requires full-time on-site presence in Coalville (5 days per week).
Responsibilities
Facilities & Service Coordination
Coordinate delivery of hard and soft FM services including Security, Cleaning, Catering, M&E, landscaping, and other contracted services
Monitor supplier performance against SLAs and KPIs
Review risk assessments and method statements (RAMS)
Issue and monitor permits to work, including hot works
Ensure compliance with relevant health, safety, and environmental regulations
Maintenance & Systems Oversight
Coordinate planned and reactive maintenance activities
Support small project works and forward maintenance planning
Utilise Integrated Workplace & Facilities Management Systems (IWFMS/CAFM) and Building Management Systems (BMS)
Conduct safety audits and site inspections
Support space utilisation and operational efficiency initiatives
Compliance & Health & Safety
Maintain strong awareness of EHS requirements
Ensure contractor compliance with site standards and statutory obligations
Promote a safe and sustainable workplace culture
Stakeholder Engagement
Work closely with colleagues, contractors, and service providers
Act as an ambassador for organisational values and service excellence
Communicate clearly and professionally across all levels of the business
Requirements
Essential Criteria
Experience in contract management within a Total Facilities Management (TFM) environment
IOSH Managing Safely certification
Strong knowledge of Health, Safety, and Environmental compliance
Understanding of technical services and premises management
Experience working with contractors and monitoring service standards
Experience working to SLAs and KPIs
Familiarity with EHS management systems
Working knowledge of CAFM/IWMS and Building Management Systems
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Strong written and verbal communication skills
High attention to detail and accuracy
