Receptionist/Administrator Support

Job Summary
We are an evolving administration team looking for a part‑time Administrator to join us on a permanent basis. Previous experience within a General Practice and familiarity with clinical systems (EMIS / AskMyGP / DOCMAN10) is highly desirable, but full training will be provided.
Key Responsibilities
* Act as the first point of contact for patients arriving or calling the surgery, ensuring a friendly, efficient and courteous experience.
* Manage reception and waiting area activities, including greeting, directing, and telephone duties.
* Provide clerical support to clinical staff – brief messaging, data entry, filing, copying, and scanning.
* Maintain the appointment system, process repeat prescriptions, handle incoming and outgoing mail, and manage patient recall systems.
* Assist with opening and locking premises, ordering stationery, and keeping the office environment secure and tidy.
* Support clinical, administrative, and quality‑improvement projects, monitoring documentation accuracy and data security.
* Ensure all duties are completed in a timely manner while maintaining patient confidentiality and adhering to Practice protocols.
Qualifications
* Sound knowledge of Windows and MS Office.
* IT literate (CLAIT or equivalent qualification).
* Good verbal and written communication skills.
* Problem‑solving skills; flexible, team‑player with a sense of humour.
Experience
* Previous experience in a front‑facing/ first‑contact role.
* Experience in an office/administrative environment.
* Desirable: experience within a GP Practice or healthcare setting and knowledge of clinical software EMIS/DOCMAN10/AskMyGP.
* Experience summarising patient records and working with patient data.
Personal/Professional Development
* Participation in annual performance reviews and ongoing training.
* Active engagement in quality improvement and audit activities.
Other Information
Pay: £12.21 per hour
Contract: Permanent
Hours: 40 a week (including a 30‑minute unpaid break each day)
Pattern: Full‑time with flexible working; Monday to Friday (varying start and finish times)
