The post holder will work within organisational policies and departmental procedures, work is managed rather than supervised.

* To provide an efficient and effective clerical and administrative function to support the management of patients through the Urology Cancer Pathway, and contribute to the Department achieving the National Cancer Waiting Time Target.
* To be a key member of the Urology Multi-Disciplinary Team (MDT), co-ordinating services to support the delivery of specified outcomes and targets of the cancer plan.
* To co-ordinate the patients journey through the pathway, and proactively liaise with the clinical teams and urology cancer trackers to ensure the patients treatments are within National guidelines.

Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesn’t mean essential; whilst the candidate doesnt need to have skills in Welsh, well consider it an advantage when short-listing and selecting candidates. This isn’t ‘fluency’, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. Main duties of the job

* Be responsible for assisting the multi-disciplinary team to achieve an efficient service for patients on the urology Cancer Pathway. This will involve the post holder communicating patient sensitive information to medical staff, dealing with appointment requests and liaise with appropriate clinical teams and support staff concerning the escalation and proactive booking of suspected cancer patients.
* Be expected to overcome barriers to understanding when communicating with patients and their families e.g. patients may be hard of hearing, English may not be the first language, there may be cultural differences or learning difficulties.
* Have excellent organisational skills and be able to co-ordinate their own workload effectively.
* Be proficient in using a range of IT systems including: WPAS, WCP, Cancer Tracker, Radis, Canisc, inputting data and information with accuracy and adhering to policies and procedures concerning confidentiality and safe storage of information.
* Require advanced keyboard skills to undertake a range of typing duties e.g. letters, reports, audit presentations, discharge and referral information.
* Demonstrate a professional approach to work and establish effective fast track communication networks with all members of the multi-disciplinary team.
* Work collaboratively with all members of the urology team, assisting in the provision of a seamless service, which is responsive to patients, carers and relatives’ needs.

Detailed job description and main responsibilities

* Utilise UHB computer systems and paper based systems to arrange follow up appointments, re-book scans and co-ordinate inpatient admissions as directed by the urology team.
* Develop and maintain close relationships with the cancer service team to assist in identifying and resolving any pathway issues that may arise.
* Promote patient centred care and establish good relationships with patients and their relatives/carers.
* Assist the urology team with audits / research by gathering and collating information as requested.
* Attend and contribute in meetings as required.
* Provide empathy and support to the patients, carers and relatives during telephone and/or face to face contact, whilst signposting them to further services.
* Provide non-clinical advice to patients by telephone.
* Undertake follow up actions from multi-disciplinary meetings e.g. sending letters, carrying out administrative duties when a patient requires urgent treatment.
* Ensure that all mandatory training is up to date.
* Demonstrate own activities to new or less experienced staff.
* Upon request, input data into the National BAUS database.
* To have an active role in identifying opportunities for service improvement.
* Liaise with tertiary centres to ensure all diagnostic plans and treatments requested are undertaken as directed by the urology team.
* Contribute to the service sustaining achievement of waiting time targets.
* Work closely with the cancer information lead to manage the monitoring, prediction of performance, reporting mechanism and data collection of the activity, capacity and demand for non-surgical cancer services.
* Demonstrate an awareness of own limits of own practice and knowledge and when to seek appropriate support/advice.
* Follow up, track results and act on results by bringing any urgent outcomes to the attention of the Urology Team in a timely appropriate manner.
* Co-ordinate the handover with other teams to facilitate safe and effective transition of care between services in order to provide seamless support for patients.
* Manage own workload.
* Demonstrate self-directed learning, actively seeking role development opportunities to enhance own knowledge and role progression.
* Have a personal duty of care for all equipment used throughout the course of duty.
* Adhere to UHB policies and procedures relevant to the role.
* Propose changes to office practices and procedures to improve efficiencies.


Person specification


Qualifications/Knowledge

* Educated to NVQ Level 3 or possess equivalent skills, knowledge and experience. OCR/RSA typing qualification or demonstrable equivalent skills and knowledge. Knowledge and understanding of principles surrounding good data management, including legal responsibilities for data protection. Knowledge of some medical terminology. Knowledge of UHB policies and procedures. Knowledge of Caldicott guidelines and Patient Confidentiality.
* Understanding and knowledge of National Cancer waiting Time Targets,
* Welsh Language Speaking/Listening Skills at Level 3 or above


Skills/Experience

* Excellent communication and interpersonal skills with colleagues at all levels. Ability to present data in a user friendly format, including presentations at meetings. Ability to work independently and as part of a team. Effective time management. IT literate with good knowledge and understanding of computer packages. Attention to detail and high levels of accuracy.
