Job Description
The Warehouse Administrator is responsible for overseeing the administrative operations within the warehouse. This includes managing inventory records, processing orders, ensuring accurate documentation, and supporting the smooth running of day-to-day warehouse functions. The role requires strong organizational and communication skills to collaborate with internal teams and external partners.
Key Responsibilities:
1. Inventory Management: Maintain accurate records of inventory levels, manage stock levels, and ensure that products are properly stored and tracked.
2. Order Processing: Oversee the order fulfillment process, ensuring that all incoming and outgoing shipments are processed accurately and efficiently.
3. Documentation: Ensure that all paperwork, including shipping labels, invoices, and delivery notes, is completed correctly and filed properly for easy access.
4. Data Entry: Input and update inventory data into warehouse management systems (WMS) and other software tools.
5. Reporting: Generate and review inventory reports, stock levels, and order status for management. Provide accurate and timely reports as needed.
6. Communication: Serve as a point of contact between the warehouse team, suppliers, and other departments to ensure smooth and efficient operations.
7. Receiving and Dispatching: Assist with the receipt of incoming goods, ensuring proper documentation and checking for accuracy. Coordinate the dispatch of goods to customers, suppliers, and internal teams.
8. Compliance: Ensure all warehouse operations comply with health and safety regulations and company policies.
9. Problem-Solving: Address and resolve discrepancies or issues related to inventory, orders, or shipments promptly.
Skills & Qualifications:
10. Experience: Previous experience in warehouse administration or similar role is preferred.
11. Organizational Skills: Strong organizational and multitasking abilities to manage various administrative tasks simultaneously.
12. Attention to Detail: Accuracy in data entry, documentation, and inventory management is essential.
13. Communication Skills: Ability to communicate effectively with internal teams and external stakeholders.
14. Technical Skills: Proficiency in warehouse management software, Microsoft Office (Excel, Word), and other relevant software.
15. Problem-Solving: Ability to quickly identify and resolve operational issues.
16. Time Management: Ability to prioritize tasks and meet deadlines in a fast-paced environment.
Education & Certifications:
17. High School diploma or equivalent required; Associate’s degree in Business Administration or related field preferred.
18. Certification in warehouse management or logistics is a plus.
Work Environment:
19. Office environment within a warehouse setting.
20. Occasional lifting or moving of boxes and materials (up to 25-30 lbs).
21. Full-time or part-time shifts depending on company needs.
