General Summary:
The incumbent will serve as Administrative Assistant for the Department of Gerontology and the Gerontology Institute. The role involves performing administrative and personnel functions, requiring confidentiality, precision, and reliability. The incumbent must comply with University and College regulations.
Examples of Duties:
* Provide administrative support to the Chair of the Gerontology Department and Director of the Gerontology Institute.
* Schedule appointments, reserve rooms, and set up virtual meetings as needed.
* Compile, proofread, and edit meeting minutes.
* Assist with correspondence, reports, and communications.
* Serve as liaison to maintenance and property departments.
* Respond to inquiries, ensuring high customer service standards.
* Manage mail, phone, email inquiries, and reception coverage.
* Maintain office supplies, inventories, and databases.
* Assist with office setup, website updates, faculty/staff searches, and committee support.
* Coordinate travel arrangements, student recruitment, and program activities.
* Handle confidential records, evaluations, syllabi, and personnel documentation.
* Support graduate and undergraduate program activities.
* Perform other duties as assigned.
Qualifications:
* Minimum two years of office management or related experience.
* Preferred experience in an educational setting.
* Bachelor’s degree preferred.
* Strong organizational, communication, and computer skills (Word, Excel, PowerPoint, Adobe, Access).
* Attention to detail and customer service focus.
* Ability to work under pressure and handle multiple tasks.
