Assistant Project Manager/Project Coordinator
Reporting to: Project Manager
Location: Hybrid - Field & Remote (Typically 3 days field/ 2 days WFH
Contract: Part Time/Full Time (Depending on Work Load)
Time Commitment: 2-3 days/week initially, scalable as project pipeline grows
Also open to conversations regarding a freelance consultancy role with a daily rate: £180 - £300 per day.
Purpose & Objectives:
To support the Project Manager in delivering new franchise nursery projects and refurbishments across the Monkey Puzzle network. The role focuses on administration, coordination, and documentation, ensuring consistency, compliance, and communication across multiple active projects.
Key Responsibilities
· Maintain accurate and up-to-date project folders, drawings, and correspondence in internal systems (e.g., SharePoint). · Assist in preparing and updating Schedules of Works (SOWs), tender packs, and contractor documentation. · Record meeting minutes, distribute actions, and monitor follow-up completion. · Track and file statutory documents (insurances, RAMS, DBS, H&S plans, Building Control submissions). · Issue tender enquiries and chase contractor responses. · Compile and compare tender returns for Project Manager review. · Maintain an approved contractor database with up-to-date insurance and compliance documents. · Arrange site access, inductions, and DBS checks for contractors. · Attend site visits to document progress (photos, notes, snag lists). · Update the project tracker with current progress, programme milestones, and spend status. · Support communication between franchisees, consultants, and suppliers. · Collate snagging reports and manage close-out documentation. · Maintain spend trackers and PO logs. · Assist in preparing budget variance reports and cost summaries. · Support monthly management reporting and KPI tracking. · Help monitor project performance against key metrics (time, cost, quality, satisfaction).
Skills, Knowledge and Expertise
**Essential**
· Experience in a project coordination, site administration, or property support role. · Understanding of basic construction and tendering processes. · Excellent organisational and communication skills. · Confident using Microsoft 365,, or similar project management software. · Attention to detail and ability to manage multiple live projects.
**Desirable**
· Experience in education, childcare, retail, or hospitality fit-out projects. · Familiarity with JCT contracts, CDM requirements, and compliance tracking. · Ability to read and interpret basic architectural drawings.
