Job overview

The IV at home/Willow Day unit/Ambulatory Care Centre currently have an exciting opportunity for a forward thinking, proactive and highly motivated individual as a full time administrator.
We are looking for an enthusiastic, flexible individual to join our team to work as a key part of the team providing effective and efficient reception and administrative support service to the unit/team.
This position will involve working with patients, relatives, carers and staff within the unit. This is a very exciting time to join our very friendly team, we are a very friendly supportive team who thrive from working as a team. Informal visits to the unit are welcome so you can come and meet us and see the way that care is delivered.


Main duties of the job

Work as an integral part of the ward/department team ensuring that patients,

Receive patients to the unit. Check patients in/out as appropriate to the various clinics including Willow Day unit, Willow foot clinic, Renal clinic, Respiratory clinic and Ambulatory Care Centre. Direct to appropriate areas and that relevant personnel are informed of their arrival.

Answer telephone and co-ordinate messages, initiating action accordingly.

Be available to listen to the patients/relatives/carers about their concerns and any issues related to the patient’s care – any concerns should be passed on to the nurse in charge.

Give relatives/carers verbal and written information as requested by the nurse in charge. Help support distressed families and give them appropriate written and verbal information.

Promptly input accurate patient information, and requests onto Millenium EPR, making appointments as required, admits, discharge and transfer patients and run list/reports as directed. Appointments for WDU, IV at Home, Ambulatory Care Centre and Willow Diabetic foot clinic.

Detailed job description and main responsibilities

* MAIN DUTIES AND RESPONSIBILITIES OF THE POST:
* Work in accordance with the Trust’s Standards for Practice and Care (particularly section 1- communication; section 2 – managing risk and section 6 - staff).
* Work as an integral part of the ward/department team ensuring that patients, relatives/carers and other visitors receive a friendly and efficient welcoming service.
* Receive visitors to the ward/department and ensure that they are directed to the appropriate areas and that relevant personnel are informed of their arrival.
* Answer telephone and co-ordinate messages, initiating action accordingly.
* Be available to listen to the patients/relatives/carers about their concerns and any issues related to the patient’s care – any concerns should be passed on to the nurse in charge.
* Give relatives/carers verbal and written information as requested by the nurse in charge. Help support distressed families and give them appropriate written and verbal information.
* Open all incoming mail and distribute correspondence. Collate, photocopy and file as necessary.
* Request, collect and deliver items for the ward, e.g. stock items - ensuring they are available at the appropriate time.
* Order supplies as directed by the nurse in charge.
* Assist the Ward/Department Sister/Charge Nurse in the monitoring of furniture, fittings and equipment. Process requisitions for repair as necessary.
* Assist with monitoring of the physical environment and tidiness of the ward, keeping the Ward/Department Sister/Charge Nurse or their deputies informed and take appropriate actions as required.
* Maintain timely, courteous and accurate communication with other wards and departments.
* Undertake other reasonable tasks as directed by the nurse in charge.
* Always act in a professional manner to uphold good standards of conduct.

* Experience of working in a hospital

Qualifications

* Educated to GCSE level
* Work experience in NHS
* Conflict resolution training

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
