Responsibilities
* Lead proactive calendar and time management for the Managing Director, ensuring alignment with strategic priorities and effective use of leadership time.
* Coordinate end-to-end meeting management, including agenda creation, briefing materials, logistics, minute-taking and action follow-up in line with Volvo Group ways of working.
* Prepare and quality‑assure executive documentation, including board packs, business reviews, presentations, and internal communications, ensuring consistency with the Volvo Group Job Architecture guidelines for clarity and structure.
* Manage domestic and international travel for the Managing Director, ensuring efficiency, risk awareness, compliance with policy, and cost optimisation.
* Ensure effective information management, maintaining structured, compliant, and confidential digital and physical filing systems aligned with Volvo Group standards.
* Support Volvo Truck leadership events, including planning, logistics, supplier coordination, and on‑site hosting.
* Manage sensitive and complex matters with sound judgement, discretion, and professionalism.
Qualifications
* You are a highly organised and proactive professional with experience in an Executive Assistant role or a similar coordination/support position.
* Strong interpersonal skills with excellent written and oral communication.
* Event management experience.
* Ability to plan, prioritise, and work effectively under tight deadlines.
* Strong decision‑making and problem‑solving skills.
* Determined and positive attitude.
* Experience in a similar role supporting senior staff to Director level.
* GCSE English/Maths.
* Excellent IT skills, including Outlook, Word, Excel, and PowerPoint.
