Senior Admissions Assistant – University of Wolverhampton

To carry out all necessary administrative duties to support our students’ pathway to our International Study Centre at the University of Wolverhampton, ensuring our prospective students receive a professional and customer-focused service throughout their journey, using your skills, experience and passion for admissions and customer service to make a major contribution to the admissions and study experience pre- and post- arrival at the University of Wolverhampton. The postholder will be embedded in the University of Wolverhampton Admissions team. The University admissions team provide an integrated and high-quality suite of professional services which provides advice and guidance to support the applicant, the recruitment, and conversion strategy of the university. It aims to:

Key Responsibilities
* Record and process student applications efficiently, using University of Wolverhampton processes and systems to ensure all appropriate applications are processed to CAS phase and managing referrals to the International Study Centre staff where academic or professional judgement is required, including gathering of additional information, ensuring smooth processing of student records and ensuring SLAs are hit.
* To respond to enquiries from applicants, academic and administrative colleagues, and other enquirers through a variety of sources, ensuring confidentiality and that a high standard of customer service is provided.
* To maintain a good working relationship between Malvern International and the Admissions Unit and Faculty/Admissions Tutors to ensure that there is an appropriate and timely two-way transfer of application information throughout the year.
* To handle student records and to maintain accurate and up-to-date records on SITS, extracting data and running reports as required.
* To be an accurate source of information on admissions procedures and deadlines and to direct enquiries to specialist services as they require.
* To make a positive and active contribution to regular team meetings, service and process reviews, and other Office initiatives and developments as required.
* Work with the admissions team as an account manager for the Malvern International International Study Centre, providing support for and guidance on application processes and systems and liaise with Malvern International staff globally as required to support applications.
* Provide in-person support at admissions events and assessments.
* Assess applicants’ fee status in line with current UKCISA regulations, and to provide advice to both applicants and colleagues within Schools and other Services.
* Support the maintenance of SITS admissions systems through from initial submission through to enrolment,
* Ensure all admissions activities comply with relevant regulations, including UK Visas & Immigration (UKVI) requirements, data protection laws, and institutional policies.
* Work within prescribed policies and procedures within Malvern International and it’s Study Centres, as well as Home Office regulations.
* Support the maintenance of admissions systems through the gathering of Admissions/CAS documents and its timely entry into the application SITS database.
* To ensure high levels of data accuracy and actively contribute to external data returns such as HESA.
* Participate in the delivery of appropriate training and briefing sessions for academic and administrative staff on admissions policies and processes.
* Assume personal responsibility for the completion of your specified duties in a professional manner. Engaging positively with the training and support provided to perform role.
* Review your involvement in student admissions functions and recommend to the Study Centre Director and Admissions Manager, ways of improving the service offered so that:
It becomes more responsive to the needs of users;
It emulates best practice at other institutions of higher education;
It ensures compliance with Home Office, HESA and QAA requirements.
* Participate in Open Days, Open Evenings, Clearing and Enrolment Centres and other student recruitment and registration events.
* Fully support the work of other teams through cross-working at peak periods and to work flexibly being willing to provide cover during busy periods or colleagues’ absence as required.
* Assist in the detection and prevention of student fraud through the checking of applicant information, including identity, visa and qualifications documents.
* Undertake such other duties as may be required from time to time by the Director of Admissions and Head of Admissions.
* Liaise with agents, Malvern International Staff and prospective students (and their parents) regarding student applications, and the application process should it be required.
* Work under pressure during peak times of year to ensure turnaround of all pathway applications within a maximum processing timeframe of 48 hours (working within a 24 hour turnaround whenever possible).
* Work with the Centre Director’s and Admissions Manager to compile admissions reports as required.
* Work with the Centre Director’s and Admissions Manager to review entry requirements as necessary.
* Manage any referrals from Admissions Tutors and other admissions staff with student referrals who need to be assessed for suitability for Pathway Programmes.
* Report any trends in application to the appropriate staff within University of Wolverhampton and Malvern International.
* Help students through the enrolment process both pre- and post-arrival.
Knowledge, Skills & Experience
* A Level or equivalent (Degree or equivalent preferred)
* To hold a minimum of English Language and Maths at GCSE Grade C or equivalent level.
* An interest in student administration.
* Experience of using information technology including MS Office (including Excel) and databases.
* Experience of using Admissions and Compliance Systems including SITS and e:Vision or similar student management systems, Enroly, and other reporting systems in a Higher Education Institution in the UK.
* Proficient use of office technology, including Microsoft Office Suite (Word, Excel, Outlook).
* Experience of having reported data to external bodies.
* Experience of planning, prioritising and organising your own work or resources and proactively working with others to achieve team objectives.
* Ability to deal with requests for non-standard information and to tailor advice appropriately.
* Evidence of working with a regulatory framework to internal and external requirements.
* Experience of being supportive and encouraging of others, with a flexible approach to delivering team results. Actively contribute to building team morale.
* Experience of working across team boundaries to build and strengthen working relationships and systems. Participating in networks to benefit own area of work.
