Job Overview

We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will possess strong administrative skills and have experience in office management, ensuring the smooth operation of daily activities. This role requires a detail-oriented individual who can effectively manage schedules, oversee clerical tasks, assist with payroll and invoicing and support various departments within the organization.

Responsibilities

* To ensure telephones are answered in a timely and professional manner.
* To receive, direct, and relay, telephone messages and to direct visitors by maintaining employee and department directories.
* To maintain the telecommunication system by following the manufacturer's instructions.
* To maintain security by following procedures, monitoring the visitors logbook and making sure they are aware of the Priory Press Packaging on-site visiting Policy which incorporates the health and safety Policy and in-line with BRCGS, FSC, PEFC, ISO 9001:2015, PS9000:2016 standards.
* To prepare accurate weekly worksheets for payroll processing.
* To ensure all data is correctly inputted into Sage Payroll software for weekly payroll runs.
* Review and verify payroll data for accuracy, making adjustments as necessary before submission.
* Collaborate with the Office Manager to resolve any discrepancies in payroll records.
* To develop and maintain the current and accurate filing system and to regularly file all
* correspondence.
* To make sure that Master Specifications and Work Instructions are filed, highlighting any issues to management, in-line with the BRCGS, FSC, PEFC, ISO 9001:2015, PS9000:2016 standards. To ensure no errors have occurred or, if errors have occurred, that they have been fully investigated and satisfactorily resolved.
* Utilize the Tharstern MIS to update and verify information, ensuring accurate communication with relevant departments.
* To accurately produce and update the systems with customer and supplier delivery notes and invoices in a timely manner.
* To accurately receive and process customer payments.
* To organise the distribution of incoming postal correspondence and to liaise with all departments with outgoing postal/courier requirements.
* To monitor and ensure office equipment and general supplies are maintained.
* To administer and reconcile petty cash according to company procedure.
* To maintain a safe and clean Reception area, by complying with health and Safety procedures, rules and regulations.
* To perform other duties as assigned.
* To Challenge any unknown person on site who may pose a threat to site security.
* To highlight any pest activity to you Manager.
* In the event of absence: Cover by the Office Manager.
* To abide by and support the Company's BRCGS, FSC, PEFC, ISO 9001:2015, PS9000:2016 standards.

Qualifications

* Proven experience in office administration or management roles.
* Strong clerical skills with attention to detail in filing and documentation processes.
* Excellent communication skills, both verbal and written, to facilitate effective interactions with team members and clients.
* Demonstrated organizational skills with the ability to manage multiple tasks simultaneously.
* Familiarity with Sage payroll systems, budgeting practices, and bookkeeping principles is essential.
* Ability to work collaboratively within a team environment while also being self-motivated to complete tasks independently.

Job Type: Full-time

Pay: £489.00-£500.00 per week
