The role:
1. Answering the Telephone and dealing with any queries
2. Liaise with the main admin centre for processing of client instructions.
3. Keeping advisers up to date with timescales for receipt of information
4. Managing client expectations regarding payment of funds withdrawn from plans
5. Scanning all correspondence and saving to client files
6. Printing and sending out valuation reports to all clients on a half yearly basis or as and when required.
7. Sending out letters on a monthly basis requesting clients contact us to arrange an appointment for an annual review.
8. Creating review packs ready for when a client is seen by the adviser – valuations, investor reports and how much money a client has made over the past 12 months.
9. Opening and dealing with all incoming/outgoing post accordingly.
10. Typing letters for clients
11. Ordering stationery
12. Creating new packs for advisers when they see either a new or existing client.
13. Using the franking machine i.e. franking the external mail or topping up the credit balance
14. Keeping back-office system up to date with all client information
15. Arranging appointments with either Clients or Company Representatives and updating adviser’s diaries.
The successful candidate:
16. Previous admin experience.
17. Excellent time management and organisational skills.
18. MS office knowledge
19. Ability to work on your own and as part of a team.
