Overview
Our At Risk Mental State (ARMS) team is expanding, and we have a fantastic opportunity for a Team Administrator. The At Risk Mental State (ARMS) is a specialist mental health service based on NICE‑recommended interventions, including comprehensive psychological assessment and interventions for ARMS/ psychosis and co‑existing mental health problems (depression, anxiety, emerging personality disorder, substance misuse). These are supported with family interventions, care coordination, social prescribing, and education/employment support.
Responsibilities
* Provide comprehensive administrative and clerical support to team staff, doctors and external partners.
* Multitask and manage the workload flexibly in accordance with agreed quality standards.
* Use Microsoft Office programmes, including Outlook and Word, effectively.
* Support all staff and doctors by undertaking administrative duties, referrals to EIS, scheduling appointments, preparing team meeting minutes, typing clinic letters and maintaining records.
* Liaise with members of the public in their dealings with the team/service, some of whom may prove distressed, challenging or aggressive.
* Coordinate with other EIS team members to organise and deliver a safe and efficient office system supporting sound patient care and achieving targets.
* Provide patient, staff, carers, relatives, GPs and Community Health Teams with information about appointments, patient care, service pathways and meetings verbally by telephone, face to face or written in a tactful and courteous manner.
* Maintain records, including the electronic health record RIO, databases and spreadsheets required by the team (e.g. therapy waiting information, group therapy lists, trackers of doctors’ clinic appointment letters).
Qualifications
* Enhanced Disclosure and Barring Service (DBS) check required; the Trust will cover the cost of the check.
* Valid DBS certificate preferable for those who subscribe to the DBS update service.
* Strong attention to detail, good knowledge of Microsoft Office programmes and the ability to multi‑task.
* Good interpersonal skills capable of dealing with distressed, challenging or aggressive individuals with empathy and confidentiality.
