Job Title: Administrative Receptionist Department: Facilities Location: 23 Hospital Fields rd York UK Hours Per Week: 37.5 Schedule: Days SUMMARY The Administrative Receptionist provides professional reception duties and customer service to both internal and external customers and provide administrative support across the business with duties delegated as and when required via the York Senior Leadership Team RESPONSIBILITIES Providing a professional reception service and being the first point of contact for all visitors to site Receiving external phone calls and managing them appropriately and also managing the Reception mailbox to ensure an exceptional standard of customer service and timely response to all customers Admin support and partial cover for Facilities & Health & Safety Manager Stationary ordering and distribution Distribution of post Maintenance of welfare supplies for the site Arrangements for catering for meetings etc. Managing parking and visitors passes Managing IDs – new starters, contractors, temps Diary management and coordination of meetings for SLT including booking / collection of onsite catering Arranging travel / accommodation for all employees where required / unable to book independently Support with employee engagement activities such as on site events and admin support with employee newsletters and communications Provide admin support as and when required to alleviate pressure as a result of unexpected short-term peaks in workload and / or resource challenges Monitoring of Training Files when requested ensuring any issues are flagged to HR to maintain compliance Other administrative duties and support as required commensurate with the level of the role and delegated via the York Senior Leadership Team REQUIRED QUALIFICATIONS 5 GCSE’s grade ‘C’ or above or equivalent PREFERRED QUALIFICATIONS Exceptional customer service skills High levels of integrity and judgement Strong organisational skills High standards of written and verbal communication Good level of IT literacy Strong attention to detail Good interpersonal skills High levels of accountability and ownership Solution-focused with the ability to work independently to solve issues Flexible, adaptable and responsive with the ability to re-prioritize to meet the needs of the business and support a variety of disciplines operationally during times of pressure Continuous improvement mindset PHYSICAL REQUIREMENTS: S - Sedentary Work - Exerting up to 10 pounds of force occasionally Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
