The Role and the Department Futures in STEM is an online academic and pastoral support programme for underrepresented Year 12 students who are considering studying Chemistry, Maths, Computer Science, Engineering or Physics at university. Students have the opportunity to take part in a variety of online subject specific tutorials, mentoring, guest lectures and activities designed to prepare them for university study and to help make sure they are ready to apply for, and succeed, in Higher Education. The programme administrator will be based in the Science Engagement Team (Faculty of Science) and will work with colleagues across the Faculty as well as central teams across the University. The programme administrator is a vital role for the Futures in STEM programme. The role will include maintaining accurate records of participant applications and attendance; arranging and trouble shooting online sessions on MS Teams; communicating with participants, tutors and mentors and monitoring shared mailboxes associated with the programme; organising guest lectures; supporting the programme team in developing, managing, updating and uploading programme materials (such as safeguarding and training materials); supporting the recruitment process for new cohorts of participants; overseeing and line managing tutors, mentors and interns, including completing timecards and supporting the delivery of training sessions; keeping the programme team up to date on the latest progress and making the team aware of any issues that need attention. As part of the Science Engagement Team, the programme administrator will also have other reasonable responsibilities outside of the Futures in STEM programme on an ad-hoc basis. These will include monitoring shared inboxes, managing social media, supporting event planning, managing databases and purchasing. The appointed Programme Administrator will work a hybrid work pattern (arrangements to be discussed with the line manager) in the Mountjoy Centre where the Science Engagement Team will be located from January 2026 onwards. What you need to demonstrate when you apply To be considered for this role, here are the skills/experience we're looking for: Qualifications/Experience 1. Five GCSEs at least Grade C or level four (or equivalent) including English Language and Mathematics or equivalent experience. 2. Experience of supervising a team, delivering customer-focused services. 3. Experience of managing time to meet deadlines and working under pressure without compromising on quality. Skills/Abilities/Knowledge 4. Good spoken and written communication skills. 5. Good digital skills including experience in using digital devices and apps including digital communication tools, Microsoft 365 applications and digital booking systems. 6. Knowledge relevant to the role ideally supported by relevant courses or certifications. 7. Committed to continuing professional development. 8. Ability to solve problems and resolve straightforward issues yourself and as part of a team. 9. Ability to provide advice and guidance to a range of colleagues and customers. Teamwork and Supervision • Supervise and delegate tasks to other members of the team and make sure that they have been completed. • Explain systems and procedures to new starters and provide advice and guidance when required so that they know how to carry out their role. • Help to coach assigned team members and provide any ongoing training needs. • Help your colleagues to organise, plan and prepare for events and meetings and contribute to team planning activities. • Resolve queries and respond to requests for information and advice and bring any complex issues to the attention of more experienced team members.
