Supply Chain Management Assistant
We are seeking a proactive and detail-oriented Supply Chain Management Assistant to support our sourcing, procurement and production planning activities within the personal care and perfume industry. The primary focus of this role will be global sourcing of raw materials, chemicals and ingredients, as well as packaging components, ensuring cost-effectiveness, quality compliance and timely supply to support production.
Key Responsibilities
Global Sourcing & Procurement
Identify, evaluate and source raw materials (including fragrance oils, essential oils, alcohol bases and cosmetic ingredients) and packaging materials (bottles, pumps, caps, labels and cartons) from international suppliers.
Obtain quotations and negotiate pricing, minimum order quantities and payment terms.
Build and maintain strong relationships with global suppliers and manufacturers.
Monitor supplier performance, lead times and quality standards.
Stay up to date with market trends, material availability and pricing fluctuations within the personal care and fragrance industry.
Inventory Control & Production Support
Monitor stock levels of raw materials and packaging to ensure alignment with production plans.
Assist with daily production planning and ensure timely procurement to avoid stock shortages.
Maintain optimal inventory levels whilst minimising excess stock.
Purchasing & Order Management
Raise, process and track purchase orders from placement through to delivery.
Liaise with suppliers regarding shipment schedules and documentation.
Ensure compliance with regulatory and quality standards for imported materials.
Logistics & International Shipping
Coordinate international shipments, including freight forwarders and customs documentation.
Track inbound deliveries and resolve delays or discrepancies.
Work closely with logistics partners to ensure cost-effective and timely transportation.
Data & Documentation Management
Maintain accurate records within ERP and inventory management systems.
Prepare procurement reports, cost analyses and supplier performance evaluations.
Ensure all documentation (e.g. COA, MSDS, specifications) is properly maintained for compliance purposes.
Administrative Support
Provide general administrative support to the supply chain and production teams.
Assist with continuous improvement initiatives within procurement and inventory processes.
Required Skills and Qualifications
Industry Experience (Preferred): Previous experience in sourcing or supply chain within the personal care, cosmetics, fragrance or perfume industry is strongly preferred.
Technical Skills: Proficient in MS Office (particularly Excel) and familiar with ERP/warehouse management systems.
Global Sourcing Knowledge: Understanding of international procurement, Incoterms, freight processes and customs procedures.
Negotiation Skills: Ability to negotiate pricing and commercial terms with international suppliers.
Communication: Strong written and verbal communication skills to liaise effectively with global suppliers and internal departments.
Organisation: High attention to detail with strong time management skills.
Education: Degree in Supply Chain Management, Logistics, Business Administration or a related field preferred.
