Overview of Role

To support the rapid growth of our business, we are seeking a highly motivated Sales Administrator to work on a hybrid basis (1 or 2 days a week) from our new office in Reading, UK. This role will be responsible for providing sales administration support to the sales teams, primarily focusing on the co-ordination and administration of tenders, aiding with regional renewals for transactional accounts, contract administration for selected accounts and academic institutions, and the administration support for centralised training activities.

The role will also help with other sales administration activities including setting up user licences, occasional event support, and other miscellaneous sales administrative support.

The position is a supporting function, driving efficiency into the teams through the centralisation of administrative tasks like tender management, contract and training administration, and sales administration especially around transactional renewals, allowing sales roles to spend more time on customer-facing activities.

This role reports to the Sales Operations Manager responsible for EMEA Sales Analytics, forecasting, and sales administration.

What You Bring to The Team

* Coordinate and administer tenders, managing client engagement under the direction of the sales team leader.
* Provide administrative support completing tasks for tender submissions.
* Manage project timelines and stakeholders for tender submissions.
* Project manage complex tenders, taking responsibility for plans, timelines, tasks, and stakeholder management to support the sales leader.

Contracts (incl. Academics)

* Review and assist with creation and submission of customer contracts such as enterprise deals (MSAs), liaising with legal, finance, and customers.
* Assist with sales admin tasks such as supplier setup and related documentation.
* Help with administration overhead for CSS training sessions, including registration, license management, marketing coordination, invoicing, and certification.
* Own the administration for these activities in the Projector system and manage the process as required.
* Assist account teams with admin tasks like chasing debtors.

Renewals

* Assist with EMEA transactional renewals, sending quotes, and liaising with customers to close opportunities in SFL.
* Occasionally set up licenses or provide holiday cover for other admin roles.
* Aid CSM Academics with contract administration and license setup.

Qualifications & Experience

* 5+ years of sales and contract administration experience.
* Experience with complex tenders and contracts highly desirable.
* Customer-facing experience with strong communication and empathy skills.
* Excellent communication and interpersonal skills across digital channels.
* Strong planning, organizational, and multitasking skills.
* Bachelor’s degree typically required.
* Experience with sales and business process technologies (CRM, ERP, Excel, etc.).
* Highly organized, process-oriented, collaborative, and detail-oriented.
* Proficiency in Microsoft Excel (pivot tables, VLOOKUP, GETPIVOT, etc.).
* Experience working with remote teams preferred.
* Second language (French, German, Spanish, Dutch) is a plus.
* Ability to work independently, prioritize, and meet deadlines.
* Discretion when handling confidential information.
* Quick-response capability required.
