Job Overview
This is an exciting opportunity for a conscientious, enthusiastic, highly motivated, and organised individual to join the Urology department. The Urology department is recruiting a full‑time Medical Secretary to support the secretarial pods covering six consultants, including high‑cancer sub‑specialities such as prostate and kidney.
Key Responsibilities
* Ensure all communications (emails, faxes, investigation results) are attended to daily and prioritised appropriately.
* Accurately transcribe all correspondence by touch‑typing from audio or digital dictation or shorthand, using medical terminology, and generate routine and non‑routine correspondence independently.
* Act as the point of contact for all appointment bookings, liaising with clinicians and ensuring accurate and timely data entry into the Patient Administration System (PAS) under real‑time rules.
* Assist patients and their carers by arranging translation/interpretation facilities and by providing routine information and non‑clinical advice.
* Maintain knowledge of Trust RTT policy, update RTT records in accordance with guidelines, and support data management using PAS and other departmental databases.
* Complete tertiary referral proformas and templates for internal and external referrals in line with Trust policy.
* Promptly act on clinical investigations, results and outcomes; use Trust reports to service and administer waiting lists for outpatient, inpatient and other patient groups, escalating to senior staff as required.
* Add patients to waiting lists as requested, taking into account urgency and patient preference.
* Arrange urgent admissions directly from clinic or ambulatory care areas, liaising with ward, theatre and clinic teams as needed.
* Support the delivery of a high‑quality, safe and compassionate healthcare service, acting as a role model and consistently demonstrating the Trust’s PRIDE values.
Qualifications
* Good communication and organisational skills.
* Medical administration training and/or experience, with good typing speed and accuracy.
* Methodical, highly organised approach with a flexible attitude.
* Ability to work independently and within a team.
* Proficiency in IT and willingness to learn and use multiple Trust IT systems.
* Capability to handle sensitive patient communication, including anxious, aggressive or vulnerable patients.
* Understanding of Trust policies on data collection and confidentiality.
