The role
KEY RESPONSIBILITIES\nPatient Interaction (with training and supervision)\nâ¢\nWelcome patients and visitors in a friendly and professional manner\nâ¢\nLearn how to answer telephone and email enquiries appropriately under guidance\nâ¢\nSupport the reception team with patient bookings, enquiries and administrative tasks\nâ¢\nLearn and follow confidentiality, GDPR and information governance requirements\nâ¢\nAssist in maintaining a clean, welcoming and professional clinic environment\nâ¢\nEscalate concerns or queries to senior colleagues when appropriate\nCORE PRINCIPLES\nâ¢\nTo ensure confidentiality of information (written, oral and electronic) is preserved at all times whether at or away from work.\nâ¢\nTo follow practice procedures to ensure that Healthcare Improvement Scotland requirements are met at all times.\nâ¢\nTo follow procedures to ensure compliance with GDPR.\nâ¢\nTo follow all practice protocols concerned with the maintenance of ethical practice.\nâ¢\nTo support and participate in initiatives to ensure a safe and healthy environment for all practice users. This includes following procedures to ensure the control of potential hazards to health and safety.\nâ¢\nTo contribute to a culture of continuous improvement.\nâ¢\nTo perform duties to standards required by the practice in accordance with quality assurance.\nâ¢\nTo demonstrate commitment to Continuing Professional Development.\nAdministrative Support (progressive learning)\nâ¢\nLearn how to prepare and process clinical correspondence\nâ¢\nSupport theadministration team with filing, scanning, data entry and document management\nâ¢\nAssist with appointment booking and diary management\nâ¢\nGain experience using clinical and administrative systems\nâ¢\nSupport the processing of patient and client requests under supervision\nFINANCE\nâ¢\nLearn how payments are processed within the practice\nâ¢\nAssist with payment processing and receipt generation, following practice processes\nâ¢\nGain an understanding of basic financial administration procedures\nOTHER DUTIES\nâ¢\nProvide general administrative support across the practice\nâ¢\nAssist with stock monitoring and ordering\nâ¢\nSupport colleagues during busy periods\nâ¢\nParticipate in team meetings and training sessions\nâ¢\nUndertake additional duties appropriate to the apprenticeship programme and level of training\nWORK ENVIRONMENT Desk based in office/medical practice HOURS / SHIFTS Monday â Saturday, 37.5 hours p/w. The Modern Apprentice Clinic Liaison Officer is a training position designed to provide practical workplace experience while completing a recognised Modern Apprenticeship in Business Administration or Customer Service. Working under the supervision of the Practice Manager and experienced team members, the post-holder will develop skills in customer service, administration, communication, and healthcare operations. The role offers structured learning opportunities and progressive responsibility within a supportive clinical environment. ESSENTIAL\nâ¢\nMinimum SCQF Level 5 (or equivalent), including English and Maths (or working towards).\nâ¢\nWillingness to enrol in and complete a Modern Apprenticeship or traineeship programme.\nâ¢\nBasic IT skills (email, typing, using a computer).\nâ¢\nPositive attitude towards learning and development.\nâ¢\nComputer literate with the ability to learn new systems.\nDESIRABLE\nâ¢\nInterest in healthcare, administration, or customer service.\nâ¢\nSome experience in a customer-facing, office, or support role (paid of voluntary)\nSKILLS & ABILITIES\nâ¢\nEnthusiastic and motivated to learn\nâ¢\nReliable and professional\nâ¢\nGood interpersonal skills\nâ¢\nAbility to work as part of a team\nâ¢\nWillingness to aceept feedback and develop new skills\nâ¢\nCommitment to maintaining confidentiality and professionalism
