Job overview


The Validation and Performance Clerk supports the delivery of accurate and high-quality patient data in relation to Referral to Treatment (RTT) pathways. The postholder is responsible for monitoring patient access systems, validating RTT pathways, and ensuring accurate reporting to support operational and performance teams across the Trust.

This permanent, part-time position (22.5 hours per week) is essential to the RTT Validation Team in maintaining and improving the Trust's RTT (Referral to Treatment) position and ensuring the accuracy of patient pathway data. The role underpins timely validation tasks, which directly impact data quality, reporting accuracy, and the Trust's performance against national RTT standards.

This is a non-clinical, office-based role.

Main duties of the role include validating patient tracking lists and elective waiting lists, investigating RTT breaches, and preparing validation and performance reports. The postholder will attend RTT access meetings, support administration related to pathway management, and escalate data discrepancies appropriately. They will contribute to audits, retrospective reviews, and breach analyses, while ensuring accurate and timely data entry across Trust systems. The role also involves mentoring new staff in RTT processes, providing clear communication with clinical and operational teams, and maintaining high standards of data quality in line with national RTT rules.

Detailed job description and main responsibilities


Job Description

The Validation and Performance Clerk supports the delivery of accurate, high-quality patient data in relation to Referral to Treatment (RTT) pathways. The role is essential in maintaining and improving the Trust's RTT position by ensuring data accuracy, timely validation of pathways, and compliance with national access standards. The postholder provides vital support to operational and performance teams through monitoring patient access systems, investigating pathway breaches, and preparing reports that inform divisional and Trust-wide performance.

This is a permanent, part-time (22.5 hours per week), non-clinical office-based role, reporting to the Validation Team Leader and working closely with divisional operational teams, the Business Intelligence Team, and administrative colleagues across the Trust.

Main Responsibilities

* Validation and Data Quality

o Validate patient tracking lists (PTLs) and elective waiting lists.

o Investigate RTT breaches and provide data for service and performance reviews.

o Identify, escalate, and resolve data discrepancies to ensure accurate reporting.

o Contribute to breach analyses, retrospective data reviews, and audits.

o Support the implementation of RTT-related policies and processes.

* Reporting and Administration

o Prepare validation and performance reports for divisional and Trust use.

o Attend RTT access meetings and support associated administrative tasks.

o Maintain accurate data entry on Trust systems, including PAS and patient records.

* Analytical and Decision-Making

o Apply RTT rules to interpret complex patient pathways and determine accurate RTT status.

o Exercise judgement in distinguishing administrative from clinical breaches.

o Escalate complex cases to divisional leads or managers as appropriate.

* Planning and Organisation

o Manage and prioritise own workload to meet daily, weekly, and monthly deadlines.

o Ensure validation tasks are completed in a timely and accurate manner to support reporting requirements.

* Communication and Relationships

o Work collaboratively with divisional teams, clinical services, and administrative staff.

o Provide clear, accurate, and sensitive communication when dealing with patient data, breaches, or validation outcomes.

o Use influencing and negotiation skills to promote data quality and support service improvement.

* People Support and Mentorship

o Provide informal support and mentorship to new starters.

o Assist with training on RTT processes, data systems, and validation methods.

o Lead by example in demonstrating professionalism and data accuracy.

* General Duties

o Uphold confidentiality and data protection requirements at all times.

o Use and maintain Trust IT equipment responsibly.

o Contribute to the Trust's values by working with compassion, respect, openness, and a commitment to excellence and continual improvement.
