The Role

This is a unique role in a unique place - varied, hands-on & people-focused.

We're looking for a confident and capable Bookings & Facilities Coordinator to lead the day-to-day running and facility management of Newgale Lodge, our Pembrokeshire bunkhouse accommodation.

Owned by The Development Company (DCo) a dynamic Learning & Development company based in Haverfordwest, our bunkhouse is a unique venue that serves a range of clients including schools, families, sports teams, and corporate groups attending DCo's residential programmes.

This is an ideal role for someone who thrives in a varied environment and is happy working independently much of the time. The role involves switching between coordinating bookings and invoices, managing supplier partnerships, overseeing cleaning and catering arrangements, and handling light maintenance or grounds tasks to keep the site welcoming and well-presented. It requires someone with strong people skills, a practical mindset, and the flexibility to adapt to seasonal demands.

It also involves some working time at DCo's office in Haverfordwest, working with the extended team to align accommodation use with our L&D business growth.

What You'll Be Doing

Bookings & Guest Management

* Respond to all booking enquiries via phone, email, and website
* Manage bookings for the entire site or individual buildings
* Coordinate catering and activity bookings with trusted local partners
* Raise invoices, process payments, and maintain accurate guest records
* Welcome guests on arrival and provide a warm, informative check-in
* Act as the friendly, reliable face of the facility

Facilities & Operational Oversight

* Coordinate changeovers: schedule cleaners and laundry service
* Take utility meter readings and undertake light maintenance and groundwork
* Ensure the site is clean, safe and welcoming at all times
* Complete required seasonal preparation and routine tasks

Stock Control & Purchasing

* Monitor and restock supplies, guest amenities, bar inventory and maintenance materials
* Manage supplier relationships and order as needed within budget
* Keep accurate inventory records and manage deliveries

Team Collaboration & Office Work

* Spend time at the DCo head office and provide updates to business managers
* Collaborate with marketing, sales, and admin colleagues
* Support corporate residential programme bookings
* Share ideas to continuously improve guest experience and operational efficiency

What You'll Need

Essential:

* Friendly and confident communicator – in person, online, and by phone
* Strong organisational skills with a proactive attitude
* Hands-on and practical, with an eye for cleanliness and presentation
* Experience with bookings, invoices, or guest-facing roles
* Comfortable working alone and managing multiple responsibilities
* Full UK driving licence and access to a vehicle

Desirable:

* Background in hospitality, accommodation, or venue management
* Maintenance, DIY, or basic trade skills
* Knowledge of the local area and suppliers

Location: Main location is at Newgale Lodge Bunkhouse Accommodation with some time spent at DCo Head Office, Tower Hill, Haverfordwest

Employment Type: Full-time

Hours: 37.5 hours per week, with core hours being Monday to Friday, 9:00am – 5:00pm.

Please note, flexibility is required based on bookings and operational needs. This may include occasional weekend work and adjusted hours to support guest arrivals and departures, changeovers, peak season demands, and events. During quieter off-season periods, hours are generally more regular and predictable. Any additional hours worked during busy times can be balanced with time off in lieu (TOIL), ensuring a fair and flexible working arrangement.
