We have an exciting opportunity for a Medical/Administrative PA to join the Administration Team of the Cancer Genetics Unit at The Royal Marsden in Sutton, supporting both NHS and Private Practice.
Working flexibly as part of our small, friendly team of ten, the ability to prioritise and organise a busy workload, while dealing with queries from clinicians and patients, is essential. The successful applicant will have excellent communication and complex diary management skills and be confident communicating within a multidisciplinary team, and with patients, as well as having experience in managing Clinics. Additionally, the successful candidate will be an exceptional team player, able to take minutes of meetings and provide cover for the MDT Co-ordinator.
Applicants are expected to be IT literate and to demonstrate an ability to deal with confidential information.
There may be a two stage interview process and a test.

Main duties of the job
The post holder will be responsible for the provision of a comprehensive PA service to the Clinical Director of Genomics and the Genetics Lead Consultant and other senior clinical colleagues and will be required to cover a wide range of duties incorporating complex diary management and the co-ordination of clinical, administrative and academic work. He/she will liaise with all colleagues within the multidisciplinary team, and with internal departments and external agencies, to ensure the continuity of patient treatment. The post holder will also be responsible for ensuring the smooth running of Consultants’ private practises, the Cancer Genetics Unit’s MDT and departmental meetings, including minute taking.
Detailed job description and main responsibilities
These responsibilities will be carried out under the guidance of the Unit Co‑ordinator.
To type and distribute clinical and general correspondence in line with Trust standards.
To process new patient referrals within Trust and nationally agreed time frames, enabling compliance with quality standards for the diagnosis and treatment of cancer.
To open and action his/her own electronic and paper mail and that of the Consultant Team, at least once a day.
To input and maintain patient diagnoses and good quality current clinical unit data on the Hospital Information System, and other patient-related information as required.
Administrative
To maintain an up-to-date diary, including the organisation of meetings and seminars as requested by the Consultant(s), and making him/her aware of changes as they occur.
To make travel arrangements on behalf of the Consultant(s) in accordance with Trust policies, and to arrange accommodation.
To manage bring-forward systems.
To undertake general office duties as required, including photocopying, scanning, paper & electronic filing and date stamping of correspondence. To ensure that stationery and office equipment is used efficiently, and that any needs are brought to the attention of the appropriate manager.

Education/Qualifications
Essential criteria
1. GCSE level or equivalent, including English & Maths
2. Competent at Microsoft Excel, Word and Outlook
Desirable criteria
3. AMSPAR qualified or equivalent
4. Familiar with patient information systems
5. European Computer Driving License (ECDL) or Equivalent
Experience
Essential criteria
6. Experience of complex diary management
7. Substantial previous medical secretarial/PA experience
8. Experience of taking minutes of meetings
Desirable criteria
9. Experience working in a similar role in a hospital/health care setting
10. Previous experience of training other admin staff & working as part of a Team

At The Royal Marsden we have an immune compromised patient population who we must protect as much as we can against the flu virus. Each year, seasonal flu affects thousands of people in the UK. Occurring mainly in winter, it is an infectious respiratory disease capable of producing symptoms ranging from those similar to a common cold, through to very severe or even fatal disease.
The wellbeing of our staff and patients is of the upmost importance to us, and it is the expectation of The Royal Marsden that all patient-facing staff have an annual flu vaccination, provided free of charge by the Trust.
