The Vacancy RSRT Clinical Support Administrator The Vacancy Location: Lombard House, Belfast Contract: Temporary- Until June 2028 with the possibility of extension Hours: 37 hours per week. Role Purpose The Clinical Support Administrator will provide professional administrative support to ensure the day to day service delivery across all the Community Based Counselling Services contracts. The Right Support, Right Time Project is supported by the PEACEPLUS Programme, managed by the Special EU Programmes Body (SEUPB) Key Responsibilities (Summary) Provide confidential and professional administrative support to the Community Based Counselling Services Effective use of the Client Management System Effective use of MS applications (One Drive, Excel, Word, PowerPoint etc.) to a high and professional standard, including but not limited to data collection and analysis, the production of letters, reports, training materials, presentations, marketing and promotional materials etc Assist in the timely and accurate collation and completion of regular and ad-hoc statistical reports and preparation of information for audits, ensuring all deadlines are met Maintain a petty cash, invoicing and lodgement system including processing of all related correspondence. Respond to all inbound communications (telephone, messages within the Client Management System, emails and letters) in a clear, concise and prompt manner Maintain a confidential and well-ordered system for the service in line with data protection requirements, and organise/facilitate appropriate disposal of confidential material in line with the organisation's data retention schedules. Support the management of referrals to the service, including statutory, 3rd party, self-referrals, family members/carers/others. What We're Looking For Flexibility At least 12 months experience in an administrative role Experienced is using MS Office. Minimum of 5 GCSE passes at grade C or above, or equivalent, to include English Language and Mathematics. Efficient organisational skills, attention to detail and preparation of detailed reports Ability to manage and prioritise workload to ensure effective and timely outcomes.
