Overview
Our client is seeking an experienced
Executive Assistant
to provide proactive support to senior leaders and ensure smooth day-to-day operations across a remote-first, multi-site organisation. This role is the operational heartbeat of the team, combining executive support with office operations, event coordination, and vendor management.
The position is remote, with occasional travel to collaborative offices in Chester, Chippenham, and Plymouth.
Responsibilities
* Provide executive assistance to senior leaders, including complex diary management, meeting preparation, minutes, and action tracking
* Coordinate domestic and international travel, including itineraries, visas, accommodation, and expense reconciliation
* Manage office operations across multiple sites: facilities liaison, supplies, courier/post, access control, and health & safety compliance
* Act as first point of contact for internal and external stakeholders, ensuring professional communication and issue resolution
* Plan and deliver internal events (onsite and virtual), such as town halls, training, and leadership offsites
* Support HR/People processes, including onboarding, offboarding, induction schedules, and policy acknowledgements
* Maintain accurate documentation including contracts, policies, NDAs, SOPs, and dashboards
* Manage vendors and purchasing, including raising POs, negotiating with suppliers, and monitoring renewals
* Track and report on operational budgets, highlighting variances and opportunities for savings
* Ensure compliance with governance standards, including GDPR and audit readiness
* Drive operational improvements by creating templates, guides, and processes for efficiency and consistency
* Support sales and client-facing activities where needed, including scheduling, logistics, and document preparation
* Promote effective use of Microsoft 365 tools (Outlook, Teams, SharePoint, OneDrive) to ensure consistency and accessibility
Requirements
* 3–5+ years' experience in Executive Assistant, PA, Office Manager, or Operations Coordinator roles supporting senior leaders
* Proven ability to manage complex diaries, meetings, and international travel
* Experience supporting multi-site or remote-first organisations, including vendor and operations management
* Strong written and verbal communication skills, with confidence engaging stakeholders at all levels
* Advanced Microsoft 365 skills (Outlook, Teams, SharePoint/OneDrive, Word, PowerPoint; strong Excel preferred)
* Experience with budget tracking, expenses, and purchase orders
* Highly organised with excellent time management and ability to prioritise multiple deadlines
* Confidentiality, sound judgement, and resilience in fast-paced environments
* Detail-driven, process-oriented, and continuous-improvement mindset
Desirable:
* PowerBI (dashboards), Jira, Confluence, or project coordination skills
* Certifications such as ILM/CIPD Level 3+, Prince2 Foundation, IOSH Managing Safely, GDPR/Information Governance
