Role: Part time Administrator/ Receptionist

Contract Duration: 18 Months

Pay Rates: £13.15 PAYE
About the role
Reporting to the Operations Support Manager, the Receptionist/Administrator will provide full support to the Goole Manufacturing teams & Components Facility based at the Goole factory site. Responsible for front of office reception and administration duties, including greeting visitors, answering emails, handling company enquiries, preparation of personal protective equipment, booking and maintaining meeting rooms requests.
Your Responsibilities?
Welcomes on site visitors, determines nature of business and announces visitors to appropriate staff member.
Manages the visitor experience, from registration, related correspondence and PPE preparation.
Manage stock control of visitor PPE ensuring all stock is clean and professional.
Ensuring visitors are registered on the Visitor Access Management System, and visits are approved and checking that safety inductions are completed prior to visit.
Work closely with Security team to ensure visitor parking is adhered to.
Manage post and parcel deliveries effectively.
Monitors visitor access and issues swipe cards when required.
Manage and maintain meeting room bookings. Ensuring the Visitor Suite is of a high standard to receive customers and visitors.
Ensure Reception TV screens and interactive display screens are operational, and approved content is readily available.
Orders, receives, and maintains office stationery stocks.
Receives, sorts and routes mail to appropriate staff.
Locker Management and effective record of key management.
Raising facilities management requests including catering and maintenance requests.
Arranging courier items when required.
Arranging taxis and transfers for visitors.
Receiving and issuing courier items to relevant staff.
Provide administrative support to Departments as required.
Housekeeping of reception, meeting rooms, post-room, kitchen, and goods-in areas.
Ensuring meeting requirements are met, arranging buffets for meetings, equipment and support.
Working closely with interns with Special educational needs and disabilities who are on placement within the office.
Support with conferences and events.
Liaise with Business Support team to arrange reception cover for absences/leave.
Coordinate any Health and Safety bulletins, visits or briefings.
Manage effective handover between reception team members.
Any other ad hoc administrative related task as directed by placement manager.

Must be customer service focused and have experience of dealing with clients
Presentable appearance at all times

Computer literate and proficient in Microsoft Word, Excel, and Outlook
Pro-active and able to work with minimal supervision
Accurate and attentive to detail
Excellent time-keeping
Self-motivated
Experience of working in a busy dynamic environment
Desirable
Knowledge of rail industry would be advantageous but not essential.
