Job Description
Venesky-Brown’s client, a public sector organisation in Dorset, is currently looking to recruit a Temporary Staffing Assistant for a up to 3 month contract on a rate of £14.06 - £15.43/hour (PAYE).
Responsibilities:
- To act as a point of contact for all Bank workers to resolve any queries or issues, escalating matters to the Trust Bank Team Leaders as necessary.
- To deal efficiently with telephone calls understanding the confidential nature of the query, record incoming messages and relay to staff.
- To attend, participate and liaise with ward managers and staff on requirements for temporary staffing, in sometimes difficult situations where tact or skills of persuasion are required.
- To build and maintain good relationships and remain in active contact with all Bank workers, ensuring they feel valued, and have maximum opportunities to work within shifts available which match their skills and experience.
- Work closely with the systems workforce Team to ensure maximum system efficiency whilst ensuring functionality is not compromised for the end user.
- Develop and maintain professional working relationships with Departmental Leads in addressing their temporary staffing needs and sharing any relevant information.
- To support all service users with temporary workforce system usage and functions.
- To plan and organise, individually and within the team, both short term and long-term tasks appropriate to the effective day to day running of the business.
- To prepare and provide daily staffing handovers to departmental leads.
- As part of the team, to work towards achievements of clear set goals and objectives, particularly regarding fill rates for bank and agency staff.
- To follow policy and comment upon proposed changes as required.
- To comply with Standard Financial Instructions and Standard Audits.
- Participate in the submission of the weekly pay file submissions for temporary workers.
- To liaise with external agencies to source suitable cover when all other options have been exhausted.
- To ensure clear communication with bank workers regarding shifts available, ensuring maximum opportunity to work within required shift and clarity around to whom and where to report.
- Able to determine the severity of an incident report and escalate accordingly, when serious Data Protection breach is suspected.
- Provide cover for colleagues in their absence and ensure the smooth running of the Temporary staffing service.
- Present a positive image of Temp Staffing through the participation at meetings and outside the organisation.
- Work collaboratively with colleagues to ensure efficient cross cover of the department functions and information sharing at team meetings.
- As part of the team, to work towards achievements of clear set goals and objectives, particularly regarding fill rates for bank and agency staff.
- Paying attention to speed and high levels of accuracy, to process timesheets on the electronic Rostering system as part of the weekly payroll
- To maintain an up-to-date database of all Bank workers including registration, booked shifts, preferences, skills, experience, availability, etc.
- There will be a frequent requirement for concentration when handling calls from Bank workers relating to shifts, checking documentation and compiling statistics. Work pattern predictable.
- Assist in the monitoring of the use of temporary workers, including agency staff.
- Be familiar with using service user portals and interpreting user guides supplied.
- Undertakes surveys or audits for own work area.
Essential Skills:
- Sitting at computer for extended periods of time, whilst maintaining concentration levels.
- Occasional exposure to emotional circumstances. The post holder to have an awareness of own limitations and ability to identify when to escalate for support.
- Must have industry experience with bank staff, Healthroster and ESR.
