SUMMARY
The role holder is responsible for the accurate dispatch of orders, including the creation and coordination of product certification, import/export documents and permits, shipment tracking and delivery to agreed timeframe and quality.
General Duties
* Ensure that every customer order is processed effectively and efficiently;
* Ensure all documentation is created, checked and processed efficiently and to a high standard;
* Assist the Logistics Manager to ensure all relevant Import and Export documentation is completed so shipments comply with legislation and customer demands;
* Assist the Logistics Manager to work closely with the Commercial team, Operations and Customer Experience to provide a seamless service to our customers;
* Log and update non-conformances and promote continuous improvement across the department;
* Ensure that customer and product information is entered accurately into the company's IT databases and CRM's.
* Take every opportunity to promote the image and interests of BioIVT with customers, suppliers and other contacts;
Documentation & Logistics
* Responsible for assisting the logistics team with the accurate dispatch of orders;
* Responsible for product certification creation and checking to a high standard;
* Assist in the CITES permit application process efficiently and effectively;
* Ensure all shipments are proactively tracked and managed;
* Responsible for creation of Import/Export documentation for multiple shipping sites;
* Work with suppliers to resolve documentation queries and to improve efficiencies;
* Assist in coordinating documentation needs for multiple sites and product lines simultaneously;
* Ensure all customer and supplier communication for the BioIVT product range are responded to and processed accurately, in a timely manner, in line with the relevant SOPs and departmental and company standards;
* Maintain individual workload, in line with team responsibilities;
* Work closely with other departments to maintain high standards and fast turnaround time for shipment of all products;
* Work closely with Customer Experience to ensure all queries are dealt with correctly and efficiently;
* Work closely with QA in providing documentation in line with BioIVT's QMS standards;
* Work with the Warehouses to ensure all documentation for all imports and exports are prepared in advance of shipment;
* Support other departments with ad-hoc administrative projects;
* Assist the Logistics Manager in collating data reports, including and not exclusive to KPI data;
* Actively promote teamwork across all departments to suit business requirements;
* Assist the management team with all reasonable requests and ad-hoc tasks as required.
TRAVEL
This position does not require you to travel other than to the office(s) of BioIVT.
QUALIFICATIONS

Education and/or Experience
* Experience in Documentation creation and Administration roles.
* Experience with Import/Export Shipping and Documentation.
* Degree level education, or equivalent professional qualification preferred.

* Proficiency in a variety of computer software programs including MS Office.
* Excellent problem solving and communication skills (both verbal and in writing).
* High attention to details.
* Ability to multi-task and prioritize workload in high pressure environment.

This is a full-time Monday through Friday workweek with general business hours. The role offers hybrid working with 3 days in office and 2 days remote. The office location is Burgess Hill, UK.
