AJ Chambers are assisting a top City Law Firm who have an exciting opportunity for and experienced Legal Executive Assistant (EA) who will provide high-level administrative, organisational, and legal support to a team of lawyers within the Structured Finance group. This role will be based on a 12 month Maternity cover.
The role requires strong knowledge of finance documentation, excellent attention to detail, and the ability to work effectively in a fast-paced, transaction-driven environment.
Key Responsibilities:
Legal & Transactional Support
* Assist in the preparation, formatting, and execution of complex finance documentation (e.g., facility agreements, security documents, offering memoranda, trust deeds, and SPV documentation).
* Coordinate signing and closing processes, including the compilation of signature pages, board minutes, and closing checklists.
* Manage document version control, redlining, and comparison of drafts.
* Liaise with internal teams, external counsel, counterparties, and trustees to ensure smooth transaction execution.
* Maintain electronic and physical deal files, ensuring proper organisation and compliance with internal policies.
Administrative & Executive Support
* Provide proactive diary and inbox management for senior lawyers or partners.
* Coordinate travel, meeting logistics, and client events.
* Prepare PowerPoint presentations, board packs, and reports as required.
* Handle expense management and billing coordination (time entries, invoices, and engagement letters).
* Support recruitment, onboarding, and training initiatives within the legal team.
Compliance & Record Management
* Ensure confidentiality and compliance with regulatory and internal policies.
* Manage document retention in line with data protection and record-keeping requirements.
* Support internal audits and risk reviews related to structured finance matters.
Key Skills & Competencies:
* Excellent organisational and multitasking skills with strong attention to detail.
* Proven ability to handle confidential information with discretion.
* Exceptional written and verbal communication skills.
* Strong document management and formatting skills (Word styles, track changes, etc.).
* High proficiency in Microsoft Office Suite and legal document management systems (e.g., iManage, NetDocuments).
* Comfortable working under pressure and managing tight deal timelines.
Qualifications & Experience:
* Minimum 5+ years’ experience as a Legal EA, ideally within a banking, finance, or structured finance practice group.
* Familiarity with securitisation, project finance, or capital markets documentation is highly desirable.
* Experience coordinating multi-jurisdictional transactions preferred.
* Bachelor’s degree or legal secretarial qualification advantageous.
