The Role
We seek to appoint a Music Department Administrator. The Administrator is the first point of contact for pupils, staff, parents and concert attendees within the music department.
The role involves enabling the teaching, rehearsing and performing that keeps the music department running smoothly and efficiently. This includes using SOCs and Microsoft Teams, overseeing weekly timetabling, and administering all billing and VMT salary payments on a termly basis.
The music department is particularly busy towards the end of term, interspersed with quieter periods. Managing workload through peaks and troughs while remaining positive and enthusiastic is essential.
Key Responsibilities
* Manage the appointments diary for the Director of Music, including liaison with the Admissions Department for parent visits
* Maintain regular correspondence with parents and prep schools
* Oversee room bookings for music department rehearsals and teaching, and book venues outside of the department as required
* Book catering and operations set‑up for music activities
* Liaise with HR regarding appointments and sick leave of VMTs
* Provide advice and assistance to pupils and parents regarding musical requirements via phone, in person and email
* Order music and sundries for pupils, stationery, equipment and refreshments for the department
* Arrange servicing of equipment and infrastructure, including a rolling programme for piano tuning
Skills and Qualifications
* Previous experience in an administration role, ideally within a school environment
* Outstanding communication skills
* Excellent IT skills, particularly MS Office
* Experience delivering exceptional customer service
* Accounts/reconciliation experience

* An interest in and knowledge of music
