ThePatient Booking Advisor has a varied and extensive role and will work closely with the Deputy Practice Manager and Clinic Co‑ordinators. The main role involves booking NHS patients for surgery and outpatient appointments using our SystmOne patient management system. You will ensure that patients are provided with all of the information required for their specific appointment/procedure and are guided through what to expect and supported with any further care that they might need. You will provide a reassuring manner to all patients as you will be their first point of contact with Cotswold Surgical Partners.
Main duties of the job
Booking NHS patients into surgical and outpatient appointment slots over the phone, including occasional face to face bookings.
Patient file preparation. Ensure that all patient paper files are prepared and accurate prior to the patient's appointment.
Accurate completion of spreadsheets and all SystmOne entries.
Finalise and confirm with patient any appointment slots blocked for specific patients by the clinical team, ensuring patient is provided with all information required.
Support Co‑ordinators and Patient Booking Team to ensure sessions/clinics are maximised, cancellations are addressed and DNAs are managed and kept to a minimum.
Book from wait lists, ensure appointments are offered in priority/date order.
Answer incoming phone queries and direct appropriately if required.
Manage post‑operative clinical queries/concerns with direct support from co‑ordinators and clinical team.
Provide cross‑cover at times of annual leave and unforeseen absence.
Adhoc Reception cover.
Printing stock leaflets, forms and paperwork.
Franking and mail duties.
Supporting team with duties such as maintenance and cleaning of coffee machines and loading/unloading dishwasher.
