Location: Whitley Bay office based role Hours: Monday Friday, 9:00am 5:00pm (35 hours per week) Salary: £24,000 per annum As the front line of the office, the Receptionist plays a vital role in creating a positive first impression and ensuring smooth operations across all departments. Key Responsibilities Operate the firms switchboard including managing voicemails. Monitor the reception inbox/emails and incoming faxes; distribute to relevant team members. Greet clients and visitors in a friendly, professional manner and assist with tasks such as photocopying and document witnessing. Handle incoming and outgoing mail. Assist in scheduling appointments/meetings. Take card payments, issue receipts and maintain daily payment records for the cashier. Ensure stationery cupboard is well stocked. Maintain the Wills/Deeds storage database; filing and upkeep of record cards. Keep reception and meeting room areas clean, tidy and presentable. Additional Support Duties When reception duties are lighter, support other teams with tasks including but not limited to: Making and receiving telephone calls; consulting with solicitors, estate agents, courts and other third parties. Maintaining client files and databases. Assisting other team members as directed by the Practice Manager. What Were Looking For Minimum 2years experience working on a busy reception. Confident switchboard/multiline phone experience. Strong organisational skills and ability to prioritise conflicting tasks. Excellent verbal and written communication. Pleasant, professional, and friendly manner. Good IT skills (email, basic office software). Discretion and ability to maintain confidentiality. Ability to stay calm and efficient under pressure.
