Job Overview
We are an independent children's nursery and kids club. We are seeking a diligent and proactive Office Assistant to join our team. The ideal candidate will possess strong organisational skills and a keen attention to detail, ensuring the smooth operation of our office environment. This role is essential in providing administrative support, managing communications, and maintaining efficient office procedures.
Duties
* To work alongside the nursery manager and childcare director, managing the daily office operations, including diary management and coordinating meetings.
* Assist with daily administrative tasks to ensure the office and childcare provision run efficiently .
* Manage incoming and outgoing communications, including phone calls and emails, demonstrating excellent phone etiquette.
* Update, maintain and provide key support for our managers - registers, children's records, children's app, staff rotas, holiday allocation and training records.
* Maintain organised filing systems, both physical and digital, to ensure easy access to information, including updating regularly our minibus records, first aid, safeguarding and food hygiene achievements.
* To build supportive relations with children and their families.
* Assist in preparation of training/CPD reports and presentations using Microsoft office software.
* Update parent's accounts with invoice and payment information and when necessary, chase outstanding fees.
* Look at monthly statistics to apply these to milk and food purchases.
* Provide clerical support as needed, including typing documents and managing correspondence.
* Collaborate with team members to improve office processes and enhance productivity.
Qualifications
* Honesty and confidentiality are key to this role. A full DBS is required.
* Ideally a formal background within childcare would be an advantage.
* Like wise an understanding of the 'famly' app.
* Will need to hold a minimum of level 5 Maths and English GCSE.
* Previous office experience is preferred, demonstrating familiarity with administrative functions .
* Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
* Excellent organisational skills with the ability to manage multiple tasks simultaneously.
* Typing skills with a focus on accuracy and speed.
* A positive attitude and willingness to learn new systems and processes.
