We are seeking an enthusiastic Assistant Service Manager to provide essential day-to-day operational management support to the Service Manager. In this vital role, you will help ensure that the General Surgery specialty operates efficiently and effectively from a non-clinical perspective. As a valued member of a wider management team within the Care Group, you will contribute to delivering exceptional patient care through excellent service management.
The post holder will be expected to manage the team of administrative staff, ensuring equitable workload distribution and excellent standards of administrative support across the teams. The Service Manager and Deputy General Manager will support the post holder in managing more complex HR issues. The post holder will also lead on managing the patient tracking lists (PTLs) in line with national 18-week RTT guidelines and attend weekly theatre operational meetings with the service manager. Additionally, the Assistant Service Manager will investigate, resolve, and correct data quality issues identified via the RTT.
The Assistant Service Manager is responsible for the operational delivery of functions in the General Surgery Care Group. Key tasks include:
1. Ensuring operational plans to meet access targets are implemented.
2. Managing outpatient clinics for General Surgery (including Colorectal Cancer, Colorectal, Upper GI, and Bariatric Services).
3. Managing and developing medical secretaries and administrative staff.
4. Collaborating with the Outpatient Call Centre to manage outpatient resources.
5. Supporting investigations and monitoring of complaints, including coordinating responses.
6. Supporting multidisciplinary meetings within the Care Group.
7. Developing and implementing project plans for service development as applicable.
The post holder will work closely with patient pathway coordinators, outpatient bookings team, central booking service, secretarial and nursing teams, 18-week team, consultants, and junior doctors. Strong relationship-building, organization, and diligence are essential.
We are looking for someone with experience leading a team, a good educational background, and experience in outpatient or operational services within the trust. IT literacy, experience with hospital patient administration systems, and capacity and demand management experience are required.
