Job Purpose Summary
To provide efficient and effective building management and administrative support for the NatureScot Golspie and Ullapool offices. The Links office in Golspie, where the role is based, is a shared office with Highland and Islands Enterprise, Forestry and Land Scotland, and Scottish Government Rural Payments and Inspections Division. NatureScot are responsible for servicing the smooth operation of these offices for all co-located agencies.
This is a permanent, full-time role with NatureScot, based in Golspie.
Key tasks and responsibilities
1.Building Management
Oversee all aspects of building management at The Links and Ullapool office, including responsibility for: buildings management, health and safety and building security; the implementation of the MOTU agreement and all shared services. This includes heating and boiler management and maintenance (all daily/weekly checks and responsibility for checking, ordering and maintaining the fuel supply); operation and maintenance of fire and security systems; cleaning services; delivering an effective working environment; operation of the Links Management Group (4 meetings/year); quarterly health and safety inspections and implementation of actions arising; car parking; property management of the building and grounds in liaison with co-located agencies and NatureScot Property team; and contribute to implementation of NatureScot Property Review as required.
2.Health and Safety
Individual responsibility for H&S at The Links and Ullapool office. Ensure quarterly office premises inspections and task reviews are completed in line with NatureScot guidance. Ensure actions arising are implemented promptly, escalating significant issues to manager. Update office fire plans, fire risk assessments, small office operating plan and Health and Safety statements annually or as otherwise required. Maintain and implement office checklists of all actions. First Aid kit maintenance for building, vehicles and local staff. AED maintenance checks.
3.Vehicles Management
Oversee vehicle management in The Links and Ullapool offices, including EV charge points, ensuring all policies and procedures are implemented.
4.Financial Management
Responsibility for managing The Links and Ullapool office budgets, including estimates and invoices to co-located agencies in the Links according to MOTU agreement.
Purchasing of items and equipment required at The Links and Ullapool offices, purchase ordering and finance housekeeping, and managing (including tendering for) facilities management contracts for cleaning and grounds maintenance.
5.People Management
Manage cleaning contractors in The Links and Ullapool offices to ensure high quality service to building users. Oversee the delivery of a mostly remote admin service for the Ullapool office. Work closely with the Area administrator to help provide smooth service from Support team across National Operations North.

7. Strong IT skills including use of Microsoft Office applications and other information systems effectively, particularly Word, Excel, MS teams and Outlook.
8. Knowledge of Health and Safety policies, procedures and risk assessment.
9. Creativity and versatility in approach to work, able to be adaptive to changing situations, and embracing of new areas of work.
10. Driving licence.
11. Awareness of Scotland’s nature and issues impacting it.
