Job summary
As a Medicines Administrator you will be expected to: be the main provider of patient‑friendly repeat prescribing, audits, stocktake and ordering of vaccines and medical consumables; contribute to the efficiency and quality improvement of the service by putting into place processes that minimise errors, reduce medicine wastage and improve the accuracy of repeat prescriptions; undertake various administrative duties which contribute to the smooth running of the Practice; and ensure communication to and from patients, other members of the primary care team and external agencies is processed accurately and within the necessary timescales.

We are situated in the beautiful Tyne Valley, 10 miles west of Newcastle, in a purpose‑built modern facility with approximately 6,000 patients. We have five doctors, two practice nurses and two HCAs. As a team, we value one another and enjoy good close working relationships. We share our building with district nurses, health visitors, midwives, physios and podiatrists, which works well.
Job responsibilities
* Generate prescriptions for patients on dosette box medication and repeat dispensing, liaising with local pharmacies.
* Deal with pharmacy, patient, nursing home and other queries efficiently and promptly.
* Order vaccines, stock and consumables; implement hospital medication requests promptly.
* Collect and submit monthly data to monitor improvements in line with medicine management objectives and CCG targets.
* Maintain comprehensive records of work undertaken; run own reports from the clinical system to support monitoring of drug use.
* Implement protocols for medication reviews, new patient medication checks and regular medicine use reviews.
* Provide advice on prescription charges and exemptions and communicate with patients regarding medication reviews.
* Attend practice medicine‑management meetings and clinical meetings, providing input to the Prescribing Lead.
* Carry out searches for regular audits and contribute to the updating of protocols and policies.
* Organise own workload, work under indirect supervision meet targets.
* Ensure a 48‑hour turnaround of repeat prescriptions.
* Be the first point of contact for patients, community pharmacists, nursing home staff and other healthcare professionals with queries relating to repeat prescriptions.
* Maintain patient confidentiality at all times in accordance with GDPR and Caldicott guidelines.
* Utilise appropriate systems to communicate information to colleagues and patients and communicate work procedures with colleagues.
* Apply judgement in assessing queries to determine the best course of action.
* Implement annual Flu campaign activities, including organisation, searches and audits of vaccines.
* Handle PPA returns and understand medication requests from hospitals.
* Take on other duties as requested by management.
Person Specification – Experience
* Experience of working in Primary Care.
* Experience of dealing with vulnerable patients.
* Computer knowledge.
