Technology, data, and digital services underpin everything that HSE does. We are a knowledge organisation, with a wealth of experience in keeping people safe. It is the responsibility of the Technology Division (TD) to ensure that everyone in the organisation can access our data and information, to share it and to use it to make effective decisions. We support over 3,000 colleagues working across Great Britain and our services keep inspectors functioning effectively and efficiently on industrial sites nationwide, from oil platforms in the North Sea to our deepest mines and quarries.
We strive to constantly improve the technology and services supporting the organisation. The Divisional Support Team are very highly regarded within the organisation and pride themselves on excellent customer service. The team has built strong relationships with the Senior Leadership Team.
Part‑time working hours are available for this role. We can accept part‑time applicants who can commit to working a minimum of 30 hours per week.
Responsibilities
* Lead and manage divisional recruitment activity including permanent and contingent roles. Ensure consistent collaboration with HR, Public Sector Resourcing, and hiring managers, to ensure that the process of onboarding new employees into HSE is seamless and timely.
* Actively contribute to divisional support initiatives, identifying opportunities for process enhancements and service optimisation. Align improvement activities with the Technology Division (TD) business plan to ensure strategic goals are met and sustained.
* Oversee a range of operational tasks to support Senior Leadership Team (SLT) effectiveness, including budget tracking, Divisional DSE assessments, procurement coordination, governance reporting and compliance, and provide support for the Director of Digital's Executive Assistant during absences or peak demand.
* Plan and deliver divisional meetings and events, ensuring agendas are prepared, actions are tracked and followed up, and logistics are managed efficiently. Provide support for both in‑person and virtual formats.
* Ensure key resources such as SharePoint sites, organigrams, templates, and guidance documents are up‑to‑date, accessible, and aligned with divisional standards.
* Capture, analyse, and interpret data to support assurance activities. Produce accurate and timely monthly reports for the Chief Technology Officer (CTO), contributing to informed decision‑making and governance.
* Coordinate divisional training needs, including the preparation and submission of annual L&D bids. Monitor training budgets, track spend, and report progress to SLT, ensuring alignment with strategic training development.
* Oversee divisional communications, including newsletters and team channels, ensuring timely and effective messaging.
Qualifications
* Demonstrated expertise and skill in Microsoft Office 365 (including Teams, Outlook, Excel, SharePoint, and MS Lists), along with experience in navigating internal databases and dashboards.
* Proven experience providing high‑quality administrative support within a busy operational or service‑delivery environment, ideally supporting multiple Senior Leaders or teams simultaneously.
* Robust organisational skills with the resilience to deliver at pace while handling conflicting priorities, sudden demands, and managing multiple work streams independently to deadlines.
* Communicate effectively, understanding the needs of colleagues and different stakeholders.
* Self‑motivated and proactive, with a strong commitment to continuous improvement and adapt positively to change.
