What skills and experience we’re looking for:


Job Purpose

To ensure the effective daily operation of staff cover across the school, maintain continuity of learning for students, coordinate the school diary, lead cover supervisors, and support the school’s data and examinations functions.


Responsibilities

* Plan, allocate, and manage daily staff cover arrangements across the school
* Respond to daily phone calls from staff notifying of sickness absence
* Liaise with Heads of Faculty / SLT to arrange short‑term cover and minimise disruption to learning
* Maintain accurate cover records, including costings and absence tracking, and update all staff absences through the school MIS system
* Support break and lunch‑time duties as required
* Coordinate and oversee cover for planned and unplanned staff absences
* Work closely with senior leaders to plan for long‑term absences and staffing needs
* Ensure cost‑effective deployment of internal and external cover resources
* Support recruitment of cover supervisors and build the cover team
* Update staff absence procedures and cover section of the staff induction pack annually
* Produce half‑termly statistical analysis of deployment, impact on classes covered, absence analysis and costings
* Ensure cover management systems are safeguarding compliant and GDPR compliant
* Liaise with supply agencies to secure high‑quality staff at competitive rates
* Build and maintain strong relationships with external agencies and supply staff, ensuring all supply staff are appropriately briefed and supported
* Lead, manage, and deploy cover supervisors effectively, providing training, guidance, and ongoing support
* Monitor performance and contribute to appraisal processes where required
* Oversee and maintain the central school calendar/diary, coordinating events, meetings, examinations, and key school activities
* Communicate diary updates clearly to all stakeholders
* Support the delivery of agreed learning activities and programmes, adjusting activities according to student learning styles and individual needs
* Support the use of ICT in learning activities and develop students’ competence and independence in its use
* Assist students to access learning activities through specialist support (e.g., curriculum/SEN/Specialism)
* Follow the planned curriculum and support school policies and procedures relating to child protection, student behaviour, health and safety, security, confidentiality, and GDPR data protection regulations
* Support all pupils in accessing equal opportunities for learning and development, and guard against discrimination
* Participate in regular meetings, training, and other learning activities as required
* Assist in the supervision, training, and development of cover supervision staff and accompany teaching staff and pupils on visits, trips and out‑of‑school activities as required
* Assist in the planning, delivery and evaluation of training, advice, guidance and support to colleagues in other schools
* Prepare registration cover lists and support cover of lunchtime and break‑time duties
* Support the management of student data systems, maintaining accuracy and integrity
* Use the school MIS system (e.g., Arbor) to input, analyse and report on data
* Assist with the organisation and administration of internal and external examinations
* Support data collection cycles, reporting, and analysis as required
* Work collaboratively with the Data and Exams team, undertaking agreed responsibilities as directed by the Data Manager


Qualifications and Training

* Good standard of Education up to GCSE or equivalent – excellent literacy and numeracy skills
* Minimum 2 years experience of working in a school setting
* QTS or QTLS
* Training in special educational needs strategies


Experience

* Managing cover or staff deployment in a school or similar environment
* Working with school data systems; willingness to develop this area
* Experience with Management Information Systems such as Arbor (or similar)
* Analysing and presenting student performance data
* Coordinating or administering examinations
* Understanding of school operations, timetabling, or administrative processes
