We are looking for a competent office assistant/Administrator to help with the running of a group of businesses consisting of Construction, Maintenance Residential & Commercial Letting.
Responsible to: The Directors
Hours: Part Time 2-3 days per week - 8:00am-5:00pm, flexibility would be an advantage, but school hours considered
Key Responsibilities will include:
* Answering calls from all businesses
* Filling
* General note taking
* Amending documents
* Calendar Organising
* Cross checking data bases
* Raising invoices
* Create letter and form templates
* Creating excel spreadsheets to show varies data, e.g. costs, rental increases, cost increases, utilities
* Opening/answering and filing post
* Answering emails from a range of people from staff/suppliers/tenants
* Preform reception duties when required
* Excellent written and verbal communication skills
* Track/keep up to date key schedules
* Diary Management for both office and Director
* Under take property inspections and create inventories
* Track/keep up to date key schedules
* Track/keep up to date key schedules diary of utility bills, insurance schedules, maintenance/appliance policies overseeing the renewals and sourcing competitive prices
* Undertake letting tasks such as protect/unprotected deposits
* Deliver/collect documents/keys/adhoc items
* General data input for the directors and finance/office manager
* Issuing purchase order numbers
* Obtaining quotes and showing a comparisons
* Generating sales invoices and chasing payments
* Dealing with invoice queries
* Resolve office related malfunctions
* Liaise confidently with contractors and suppliers
* Welcoming visitors
* Must be competent in excel
