Receptionist (Part-Time, 20 hours, Mon - Thurs)

Main Purpose of Role
The receptionist is the first point of contact for visitors, clients, and colleagues, ensuring a welcoming and professional environment. This role involves managing the front desk, handling administrative tasks, and supporting the smooth operation of the office.
Key Responsibilities
* Greet and welcome visitors, clients, and employees, directing them appropriately.
* Maintain a clean, organized, and presentable reception area.
* Answer, screen, and direct incoming calls professionally.
* Manage incoming and outgoing mail, emails, and packages.
* Maintain visitor logs, issue visitor badges, and follow security protocols.
* Coordinate meetings, including setting up rooms, AV equipment, and refreshments.
* Perform clerical duties such as photocopying, scanning, and filing.
* Monitor and order office supplies to maintain inventory.
* Provide basic information about services, office hours, and policies.
* Assist with health and safety procedures, including fire alarm tests.
* Manage inventory and ordering of kitchen supplies and toiletries.
* Issue and manage staff ID badges.
* Maintain and update the office calendar of events.
* Support facilities-related queries and issues.
* Act as a fire warden, conducting fire drills and ensuring safety compliance.
* Raise and process purchase orders for supplies and services.
* Manage security safe and keys, ensuring proper access and protocols.
Skills, Knowledge, and Experience
* High school diploma or equivalent; additional qualifications in office administration are a plus.
* Previous experience in a receptionist or administrative role preferred.
* Excellent communication and interpersonal skills, proficiency in MS Office (Word, Excel, Outlook), and strong organizational abilities.
* Professional appearance, friendly demeanor, and ability to handle multiple tasks efficiently.
Travel
Occasional travel may be required.
