Position: Full-Time (Upto 40 hours per week, Monday–Saturday)
Salary: Dependent on experience

We are seeking a Head Dental Receptionist to oversee front-desk operations across three busy dental practices, driving excellence in patient experience, team performance, financial accuracy, and commercial growth.
This role is ideal for a confident, organised, and motivated leader who enjoys managing teams, improving systems, supporting revenue growth, and maintaining exceptional service standards across multiple locations.

About the Role
As Head Dental Receptionist (Multi-Clinic), you will lead and support reception teams across multiple sites, ensuring consistent high standards, smooth operations, strong patient satisfaction, and achievement of performance targets.
You will play a key role in:
4. Leading and mentoring reception teams across all practices
5. Ensuring smooth, professional front-desk operations
6. Managing rotas, staffing levels, and team coverage
7. Supporting treatment conversion, marketing initiatives, and practice sales
8. Driving continuous improvement across all sites
Key Responsibilities
Team Leadership & Operations
9. Ensure reception desks run efficiently across all assigned practices
10. Supervise, coach, and mentor reception staff
11. Deliver training sessions and ‘Lunch & Learns’
12. Maintain excellent patient service standards across all sites
13. Support Practice Managers with operational oversight and performance improvements
Rota & Staff Management
14. Manage reception rotas, ensuring they are fair, balanced, and submitted on time
15. Ensure adequate staff coverage, including cross-training team members where needed
16. Maintain 100% compliance with rota deadlines and staffing standards
Financial Accuracy & Administration
17. Oversee banking, petty cash, and financial reporting across locations
18. Maintain 100% accuracy across financial audits
19. Ensure accurate patient records, payments, and reporting
Complaint Resolution & Patient Care
20. Manage and resolve escalated patient complaints professionally
21. Aim to resolve 95%+ of complaints at practice level
22. Maintain high levels of patient satisfaction, retention, and service quality
23. Grow Google review scores
Sales, Marketing & Growth
24. Support and promote treatment options, special offers, and upgrades, including:
Teeth whitening
Membership plans
Cosmetic upgrades (e.g., amalgam to white fillings)
Specialist consultations
25. Help deliver marketing campaigns to grow private income and treatment uptake
26. Lead by example in achieving commercial targets, including:
10+ plan sales per month personally
10+ whitening cases per month personally
Supporting team targets for plans, whitening, and sundries sales
Continuous Improvement
27. Identify, suggest, and implement operational and service improvements
28. Deliver at least 2 improvements per quarter
29. Contribute to monthly leadership and performance meetings
Ideal Candidate
30. Proven experience in dental reception, TCO, or dental practice administration
31. Confident in leading teams across multiple sites
32. Highly organised with strong time management and problem-solving skills
33. Comfortable discussing treatments, pricing, and finance options
34. Commercially aware with an interest in sales, marketing, and patient conversion
35. Professional, proactive, and patient-focused
36. Driving licence and ability to travel between sites preferred
37. Dental background essential
