About the Role
Our client, a fast-paced and high-growth organization based in the United States, is seeking a highly professional and detail-oriented Virtual Receptionist to support their CEO and COO. This is a pivotal role that requires exceptional communication skills, proactive calendar management, and the ability to multitask under pressure — all while operating seamlessly in a remote setting.
As the right hand to executive leadership, you’ll act as a key liaison, helping manage schedules, calls, communications, and administrative priorities. If you're someone who thrives in a high-performance environment and can stay two steps ahead — this role is for you.
Key Responsibilities
* Manage complex calendars for the CEO and COO, including scheduling across multiple time zones and ensuring meeting priorities are aligned.
* Handle incoming calls and emails with discretion, professionalism, and efficiency.
* Coordinate virtual meetings, prepare agendas, and ensure executives are well-prepared for all engagements.
* Proactively monitor upcoming deadlines, follow-ups, and to-dos to keep leadership on track.
* Maintain accurate and confidential records, documents, and communications.
* Collaborate with other team members and departments to streamline communication and logistics.
* Respond promptly and effectively to high-pressure requests or urgent scheduling changes.
* Provide general administrative and operational support as needed.
Who You Are
* An excellent communicator with native or near-native English fluency (spoken and written).
* A remote work pro with at least 2+ years supporting leadership and extended teams in a virtual capacity.
* Located in a region that allows you to work reliably during EST business hours.
* Exceptionally organized, detail-oriented, and capable of juggling multiple priorities with calm efficiency.
* Tech-savvy — comfortable with platforms like Google Workspace, Microsoft Office, Zoom, Slack, Calendly, and CRM tools.
* Trustworthy, discreet, and experienced in handling confidential and sensitive information.
* A proactive problem-solver with a can-do attitude and high emotional intelligence.
