Job Description:
Under broad direction, oversees and performs the full range of activities associated with document management on a project. Coordinates the execution of the document management plan, incorporating contractual requirements. Guides and supervises personnel in setting up and executing document management processes and systems. Collaborates within the department, and with the client and customer, to ensure work processes align with project and contractual requirements. Ensures that document management deliverables meet contract, quality, and schedule requirements, and manages assets such as budgets, equipment, and staffing.
Candidates with client-side experience, preferably with Aramco, are preferred.
Key Activities
1. Implements and executes the Document Management strategy and plan supporting the project's scope and goals.
2. Responsible for the success of document management activities and deliverables, ensuring they adhere to schedules, milestones, and budgets.
3. Manages the Document Management supply chain to ensure cost-effective service delivery.
4. Communicates effectively with project management, the client, and subcontractors to resolve documentation and data issues.
5. Proficient in engineering and supplier document distribution management.
6. Develops project document reports and statistics.
7. Works within an integrated, multi-location document management team.
8. Regularly communicates with global document management staff through briefing sessions.
9. Ensures proper implementation and use of document management systems like IPMS, Documentum, SharePoint.
10. Identifies system limitations and collaborates with database administrators for improvements.
11. Produces and updates the Master Document Register and Distribution Matrix.
12. Manages project document SDRL/SDLs within EDMS.
13. Operates the Document Request for Release process.
14. Contributes to the development and training of global document management personnel.
Experience and Technical Skills
* University degree or equivalent industry experience.
* 6-10 years in process plant industry document management, with at least 5 at supervisory level.
* Knowledge of EDMS systems, Electronic Document Imaging Technology, SharePoint, and information management philosophies.
* Understanding of process plant documentation.
* Good communication and motivational skills.
