Provide comprehensive confidential and professional administrative and secretarial services to the Triumvirate of the SSMSK division: Associate Director of Operations (ADO), Divisional Chief Nurse (DCN), and Divisional Director (DD).
Ensure all work is handled promptly and efficiently, in accordance with the Trust's Policies and Procedures. A high level of sensitivity and confidentiality is required.
Internally, the post-holder will develop effective working relationships with:
* Consultants and staff across all functions within SSMSK
* Peers in other Divisions
Externally, this includes:
* Colleagues in other NHS Trusts and organizations
The role involves the timely and efficient delivery of tasks aligned with the role specification, contributing to the Trust's objectives, key work programmes, and values.
To provide a high-quality secretarial service to the Triumvirate and Management Team of the SSMSK division, including:
1. Act as Personal Assistant, providing services such as:
2. Diary management and arranging meetings
3. Managing incoming and outgoing correspondence and emails
4. Handling incoming calls and messages
5. Drafting replies and following up as directed
6. Copying, circulation of documents, and completing payroll, expenses, and mileage returns
7. Managing ERFs for managers
8. Taking minutes and maintaining action trackers
9. Handling personal and telephone calls courteously
1. Responsible for setting up agendas, circulating documents, minute-taking, and disseminating information for divisional meetings.
2. Design and manage administration of special projects, involving liaison, system setup, and progress reporting.
3. Organize internal and external events as required.
4. Develop and manage spreadsheets and databases to support division operations.
5. Provide additional administrative support to the Triumvirate and SSMSK management team as needed.
