This is a key role supporting colleagues across the organisation and helping ensure our day-to-day operations run smoothly.
Your new role
Reporting to the Office Manager, you’ll provide high-quality business and administrative support across the organisation. You’ll be a first point of contact for members, visitors and stakeholders, and you’ll work flexibly as part of a collaborative team, sharing knowledge and workload to meet organisational priorities.
No two days will be the same — this is a varied role where your organisational skills, attention to detail and customer focus will really shine.
1. Acting as the first point of contact for visitors, members and callers – face to face, by phone and email
2. Managing the enquiries inbox and directing queries appropriately
3. Providing administrative support across the organisation to meet daily business needs
4. Coordinating meeting room bookings, room set‑ups, catering and taking/distributing meeting notes
5. Organising travel and amodation for staff
6. Maintaining office supplies and ensuring equipment is in good working order
7. Supporting events and exhibitions, including bookings, invoicing and on-site admin
8. Maintaining and updating CRM records and assisting with Mailchimp mailings
9. Assisting with financial processing using Sage, including invoices, expenses and ledger maintenance
10. Supporting website administration – training will be provided
11. Promoting and protecting the corporate brand acrossmunications
12. Ensuringpliance with policies, including health & safety and equal opportunities
What you'll need to succeed
You’ll bring a positive, professional approach and enjoy working collaboratively. We’re looking for someone who is:
13. Educated to Standard Grade (or equivalent) in English and Maths
14. Qualified in Business Administration or able to demonstrate relevant experience
15. Experienced in a similar administrative role (minimum 12 months)
16. Confident using Microsoft Office and administrative systems
17. Organised, adaptable and solutions‑focused
18. A strongmunicator with excellent written and verbal skills
19. Able to managepeting priorities and work flexibly
