The team
This is a brilliant time to join our People & Culture (P&C) team of 8, we have recently transitioned from a HR team to a P&C team, really showcasing and supporting the fact that our people and the culture of the firm are the focus and at the heart of everything we do. Our P&C strategy is to become the IP firm for your career, whether you are just starting out or joining us as an experienced professional.
We are proud of the fantastic work our P&C team is doing to support the firm and we want to continue being at the forefront of new initiatives – just as our patent attorneys are!
The opportunity
Reporting in to the HR Business Partner, this role supports our HR Operations team with all elements of HR administration and coordination. We offer excellent flexibility and are very happy to consider part-time working patterns for this position.
Working closely with the whole team the key elements of this role will include:
Administration and coordination
* First point of contact for all People and Culture questions and queries.
* Oversee all administration that comes in and out of the department, including leavers and career changes by, overseeing letters, and subsequent administrative actions, conducting ‘stay interviews’ with new joiners and monitoring probation.
* Work with the Payroll Manager on monthly payroll submissions for all offices.
* Ownership of all parental leave processes, meetings, communication and tracking across the Firm.
* Responsible for keeping benefit information up to date and managing the benefit renewal process with our broker across all offices and orchestrating firmwide communications.
* Responsible for updating and maintaining accurate employee records in the P&C database (Cezanne), including uploading qualifications, employee information, processing career changes and leavers, changes in salary and bonus etc.
* Responsible for updating and maintaining our performance management system and administration of life cycle processes.
* Organise/prepare staff analysis reports for the business as required.
* Track absences and providing analysis reports to relevant HR Business Partner.
Project Based
* Take responsibility for the migration of all P&C documentation and files over to share-point. Archiving old records and keeping the files and the team compliant.
* Assist with the coordination of our IP Excellence Programme i.e. assisting with the booking of meeting rooms, organising paperwork, and sending calendar reminders to delegates.
* Provide support on P&C projects.
* Support the P&C Director on Partner administration including LLP paperwork and Partner promotion and performance reviews.
While our administrative processes work, we would love to learn new ways of organising ourselves. Our aim is to ensure that all admin that leaves the team is excellent, and we would like the help to make this happen.
