We have an ambitious 5-year growth strategy, focusing on new restaurants, franchise partnerships, and international expansion.

As we prepare for our next phase of growth and innovation, we have an incredibly exciting opportunity for a Receptionist & Office Assistant to join our Food Team Business Support Team based in Park Royal. This is a 3-month fixed term contract role.


The Role

As the first point of contact for the business, you will be the face of the Wasabi brand - playing a key role in creating a warm, professional, and memorable experience for all visitors and colleagues. You will maintain a welcoming, organised, and ‘business-ready’ environment at all times.

This role requires someone confident, proactive, and highly organised - someone who takes ownership, solves problems independently, and builds trust across the CPU.


Key Responsibilities


Reception & Visitor Experience

· Welcome all visitors and employees with warmth, professionalism, and a service-focused approach.

· Manage Reception: sign-in system, visitor verification, key fobs/lanyards, phones, emails, post and courier logistics.

· Safeguard the building by confidently challenging and verifying all visitors

· Maintain a tidy, presentable, and business-ready reception and office environment at all times.


Facilities Support

·Coordinate with hygiene and maintenance teams to ensure all office, canteen, toilets, and meeting areas are clean, safe, and fully functional.

· Conduct daily checks on food items to ensure quality and shelf-life compliance.

· Care for office plants and greenery to help maintain an inviting environment.

· Oversee systems such as ANPR/parking logistics, vending machines, coffee machines, water coolers, and the sushi ordering system.

· Manage stationery levels: track usage, replenish stock, and place orders when required.

· Support wider office operations including boardroom setup, Townhall logistics, internal events, notice boards, and TV content updates.

· Assist with ad-hoc projects for the Office Manager and Exec Assistant.


Health, Safety & Compliance

· Ensure full compliance with H&S and company policies.

· Conduct daily fridge temperature logs and flag any issues promptly.

· Support fire safety processes including roll calls and evacuation procedures.

· Ensure contractors and visitors adhere to all safeguarding and H&S requirements


Administration & People Support

· Maintain trackers including budgets, invoices, expenses, and reception records.

· Support new starter onboarding: prepare welcome packs, set up systems, and coordinate key information.

· Manage office pedestals and CPU changing-room lockers.

· Act as a helpful, reliable go-to person for colleagues - escalating queries or concerns to the right team quickly.

· Handle confidential information professionally and securely at all times.

· Flag culturally significant events and support planning of related activities.

· Actively seek opportunities to streamline processes, improve efficiency, and modernise office operations.

· Review and assess suppliers and contracts regularly to ensure value for money and service quality.

· Contribute to Wasabi’s ESG commitments - including responsible waste management, reducing environmental impact, and role-modelling sustainable practices.


Our requirements

* Experience in both reception and office administration/management.
* Fluency in English, with the ability to speak either Hindi or Gujarati to support effective communication with colleagues.
* Exceptional customer service skills—with a warm, approachable communication style.
* Confident and assertive when needed: able to question, challenge appropriately, and uphold safeguarding and H&S standards.
* Highly organised, tidy, and able to multitask without becoming overwhelmed under pressure.
* Strong time-management skills and excellent attention to detail.
* A proactive, self-motivated problem-solver who works independently and takes ownership from start to finish.
* Able to build trust quickly with colleagues and provide dependable support across the site.
* Proficient in Microsoft Word, Excel, and PowerPoint.
* Experience in a busy, customer-facing office or operational environment - highly desirable
* Exposure to facilities, People/HR, or office management support - desirable
* Awareness of basic Health & Safety or safe guarding requirements (training available)
