CJS Recruitment are looking for an Experienced Secretary/Administrator on a Permanent basis for a leading commercial construction company that are based in Heathrow/Hillingdon.
About the role:
We are seeking a highly organised and proactive secretary / admin clerk to provide essential administrative support within the busy construction industry. You will be a key part of the team, ensuring smooth office operations, supporting project teams and maintaining accurate documentation throughout the lifecycle of construction projects.
Key Responsibilities:
* Perform general office administration tasks including filing, photocopying, scanning and managing correspondence (email, letters, phone calls).
* Support project managers and site teams by preparing and distributing project documentation, meeting minuets and reports.
* Maintain and update construction project records, contracts, drawings and other important files.
* Coordinate meetings, schedule appointments and manage diaries for key personnel.
* Handle incoming and outgoing post, ensuring timely distribution.
* Assist with invoicing, purchase orders and basic bookkeeping tasks.
* Liaise with suppliers, subcontractors, clients and internal teams professionally.
* Ensure compliance with company policies, site regulations and health and safety procedures in documentation.
* Manage office supplies and equipment, ordering replacements as needed
* Support the onboarding process for new employees with administrative tasks.
* Provide general support to the team and assist with ad hoc tasks as required.
Requirements:
* Proven experience in an administrative or secretarial role, preferably in construction or related industry.
* Strong organisational and time-management skills with an eye for detail
* Excellent written and verbal communication skills
* Proficient in Microsoft office suite (Word, Excel, Outlook, PowerPoint)
* Ability to manage multiply tasks efficiently and work independently
* Basic understanding of construction terminology and documentation is a plus
* Friendly, professional and customer- focused attitude
* Ability to handle sensitive and confidential information with discretion
* Good numeracy skills for handling invoicing and purchase orders.
