We are seeking a highly organised and proactive Rota Administrator to join our dedicated team at our busy complex care home at Meadfoot View Torquay. This part-time role is essential in ensuring smooth day-to-day operations through the effective management of staff rotas and the provision of general administrative support.
The ideal candidate will have excellent attention to detail, strong communication and IT skills, and the ability to work efficiently under pressure in a fast-paced care environment
Full Description
Rota Management
* Create, manage, and maintain staff rotas to ensure appropriate staffing levels across all shifts, in conjunction with the Registered Manager.
* Coordinate shift cover for absences, sickness, and annual leave in a timely manner.
* Liaise with the care team and management to address rota queries and resolve scheduling conflicts.
* Ensure compliance with working time regulations and staff contractual hours.
* Provide relevant information to the management team on request.
General Administration
* Provide comprehensive administrative assistance, including the preparation of documents, management of correspondence, organisation of files, and other general office duties as required.
* Ensure all staff absence forms are properly completed, diarised, and submitted in a timely manner. Facilitate the accurate completion and forwarding of Return to Work (RTW) forms and bank staff forms to the administrative team at Georgian House for further processing.
* Respond promptly and professionally to telephone and email enquiries, ensuring appropriate follow-up where necessary.
* Carry out effective filing, scanning, and record-keeping practices to ensure documents are well-organised, easily retrievable, and compliant with internal procedures.
* Assist with preparations for internal and external audits or inspections by ensuring all necessary documentation is current, accurate, and readily accessible.

A Successful Candidate Should Have
* Proven experience in an administrative role; experience with rota planning or within a care setting is desirable.
* Excellent organisational and time management skills.
* Strong IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook).
* Ability to handle sensitive information confidentially and professionally.
* Strong communication and interpersonal skills.
* Ability to work independently and as part of a team.
