This is an exciting time of growth for TOPRA as we launch new memberships and communities, transition to a new digital system and position the organisation as the leading global membership body for regulatory affairs professionals in human and veterinary medicine and medical devices.
The Membership Officer will be responsible for the daily coordination of membership activities including recruitment, retention, membership marketing communications, international and specialist communities, fellowships and some events. This role involves close collaboration with various departments, including marketing, communications, professional development, digital, and finance. The ideal candidate will have a proactive approach to managing membership and communities’ queries and tasks, ensuring our members receive excellent service.
There will be a particular emphasis on supporting the specialist technical and international groups with developing their work programme, delivering projects and some meeting administration.
Hours: Full-time, 35 hours per week (Monday to Friday) Location: Hybrid – 2 days in the office near Canary Wharf, 3 days working from home. In office day must include Wednesday. There may be some occasional international/UK travel if the role develops. Immediate start preferred.
Contract: Temporary. Six month contract from date of joining.

TOPRA is a global membership organisation dedicated to professionals in healthcare regulatory affairs. We aim to support our members by providing resources, expert support and career guidance, networking opportunities, and professional development.
Key Responsibilities:
• Provide comprehensive administrative support to the membership department, including handling internal member queries and maintaining member networks.
• Manage day-to-day membership inquiries, including online account queries, applications, and renewals.
• Deliver excellent customer communication via email and telephone.
• Assist with membership communication activities, ensuring timely and effective outreach.
• Coordinate the renewal and lapsed member process, working closely with the other team members and Head of Membership.
• Provide full administrative support for the activities of member communities, to include diary management and minute tasks.
• Assist the Head of Membership in developing and executing membership recruitment and retention campaigns. The role will also work closely with the Communities Engagement Manager in the development of new specialist and international member groups including their work programmes, projects and events.
• Maintain accurate member records on the TOPRA CRM database (IMIS CRM system).
• Collaborate with the finance department to ensure accurate member payment records, including tracking payments and processing refunds.
• Provide full administrative support with the Fellowship Application Process.
• Participate in networking and event attendance as needed.

Key Competencies/Person Specification:
• A minimum of two years’ experience in a membership support function or a similar customer service role.
• Exceptional verbal and written communication skills.
• Strong organisational and time management abilities.
• Capability to work independently as well as part of a team.
• Experience with database management and data reporting. IMIS CRM experience is an advantage but we will be moving to a new system in 2026.
• Proficiency in MS Office suite, CRM systems, and Microsoft Teams.
• Strong interpersonal skills, with a preference for candidates with regulatory affairs experience.
• Experience in co-ordinating online and in-person meetings.
• Previous experience in a membership or not-for-profit organisation is desirable.
• A keen eye for detail and the ability to manage multiple priorities and deadlines.
• Awareness of GDPR and data protection regulations, with a commitment to adhere to these standards.
