As a Business Support Officer you will provide proactive business support to the Directorate of Mental Health. The post holder will have clear objectives and areas of responsibility which will contribute towards the successful delivery of the Business and Transformation Team’s agenda. The Team are responsible for contract management, performance analysis and reporting, business planning, service redesign / modelling, estates and patient information.

This role will utilise excellent analytical skills to support the Directorate in producing and analysing complex business sensitive data. The post holder will use their excellent communication skills to liaise and support managers and clinicians in understanding their data and developing performance management systems.

The post holder will support services and the Business and Transformation Team in relation to Patient Tracking Lists (PTLs), provision of performance information, development of performance management reports and tools, providing support and training on use of performance reporting software and data inputting to help manage waiting times and ensure compliance with a range of targets. The post holder will be the first point of contact for services, providing support in relation to performance/data related queries and service level patient information.

Specifically, this role requires the post holder to work independently to co-ordinate and respond to queries within specified timescales. This role will require attendance at meetings and events in order to represent the Business and Transformation Team and Directorate as and when required.

Job Description Summary (Main duties and responsibilities)

Strong communicator with excellent writing skills, data entry and formatting presentations: capable of constructing and delivering clear information.
To use a variety of verbal and non-verbal communication skills to ensure effective communication at all levels.
Provide and receive highly complex, business sensitive and potentially contentious information to service leads and senior managers with the Directorate, using persuasive and motivational skills to ensure that colleagues are aware of priorities.
Work with service leads to improve and develop understanding in regards to service performance and data quality. This requires excellent training skills, as well as empathy and listening skills to understand the barriers that services believe exist in relation to data quality.
To present information to key stakeholders at meetings and forums, ensuring presentation of information is adapted to audience needs. Persuasive, motivational, negotiating or re-assurance skills may be required because the post holder is seeking agreement or cooperation or because there are barriers to understanding.
Produce and contribute to the content of performance reports and dashboards as required.
Prepare correspondence, reports and emails, progressing resulting actions as required.

Produce letters, reports and other documentation using Microsoft Word, Email and Excel and ensure documentation is presented appropriately and accurately.

Responsible for organising and leading multi-disciplinary meetings (e.g. PTLs, performance monitoring) and the production of action logs and meeting notes as required.
Collate, analyse and evaluate service productivity data independently on a regular basis. Findings and implications are to be disseminated to service leads in a variety of formats including reports, executive summaries and presentations.
Produce patient level information and performance information in conjunction with colleagues.
Establish and maintain constructive relationships with a broad range of internal and external colleagues / stakeholders across all levels.
